All locally facilitated sessions, including those held in person, must use the NMPED's Attendance and Evaluation slides and the forms within them.
Use the correct slides for the length of your session–3 hour, 2 hour, or 1.5 hour.
Include the correct session code on slide 1.
Drop the URL for the Pre-Session Attendance Form in the Chat before the session begins and the URL for the Certificate of the Attendance Form in the Chat after the session ends.
Some participants struggle with the QR codes. The URL will take participants to the same form.
Check that all eligible participants have signed in using the Pre-Session Attendance Form and signed out using the Certificate of Attendance Form. The forms are set up to automatically email participants copies of their responses upon submission.
If participants don't receive email copies of their submissions, either they didn't press "Submit" or they entered their email address incorrectly. Direct them to resubmit the form.
Participants need to attend the entire session to be considered present. They need to log their pre-session attendance using the Pre-Session Attendance Form before the session begins and complete the Certificate of Attendance Form after the session ends.
NMPED updates session attendance for participants in ACTIVE PHASES, including the Phase that ended within the past three months, during the first week of each month for the preceding month.
Participants should not expect to see their attendance updated within the month that they attended the session.
NMPED does not update attendance monthly for participants in expired Phases who are attending make-up sessions.
Participants in expired Phases who now meet the requirements for Reading Endorsement eligibility should complete the Records Review Request Form.
Participants will not be marked present for a session unless they have signed in using the Pre-Session Attendance Form and have included the correct session code.
Having a Certificate of Attendance does not guarantee that a participant will be marked present.
If a participant has logged into your session but is clearly not in attendance (i.e. camera off, not responding, doesn’t go to break-out rooms, etc.), complete the appropriate Non-Participation Reporting Form below so we know to mark the participant absent for the session, regardless of their form submissions.
Below are some of the common procedural participant attendance issues Local Facilitators face. Click on the issue to learn how to resolve it.
Direct them to check junk/spam folders for the email.
If the email isn't in a junk/spam folder, give them the URL again and direct them to complete the form again, double-checking that they’ve spelled email addresses correctly.
The majority of participants who don't receive their certificates after submitting the forms do not spell their school email addresses correctly.
If they still don’t receive the certificate, complete the form for the participant as if you were the participant. Use their school email address. You will sign into the form with your email address, which will alert us that you are completing the form on behalf of the participant.
If they still don’t receive the certificate, please contact Coleen Ferrier immediately.
Check that you dropped the correct URL for the form in the chat.
Direct the participant to copy and paste the URL for the form into the address bar and complete the form.
If the participant still cannot complete the form, complete the form as if you were the participant. On the Pre-Session Attendance Form, you will need to provide information regarding why you are completing it instead of the participant.
Complete and submit the form as if you were the participant.
Include the reason you’re submitting it instead of the participant in the Facilitator section of the form.
The participant should contact you and request that you verify her/his/their attendance. NMPED will not contact you to resolve this.
If the participant attended the entire session and just neglected to sign in, complete the Attendance Verification Form below. To complete the form, you will need:
The participant's first and last name
The participant's school email address
The session's Unit and Part
Date of the session
The DRF# from the email the participant received
If the participant did not attend the entire session or did not participate, complete the Non-Participation Form above. Contact the participant to let them know that they will not be marked present because s/he/they did not attend the entire session.
Remind the participant that attendance for participants in expired Phases is not updated monthly and that the participant will need to complete a Records Review Request Form once s/he/they meet the Reading Endorsement eligibility requirements in order to have her/his/their record updated.
This form is only for New Mexico's Local Facilitators. It should only be used after a participant has contacted you requesting that you verify her/his/their attendance due to a Discrepancy Reporting Form response from NMPED.
Please do not use this form in an attempt to resolve another attendance issue. Thanks!
