Will missing cohort attendance be communicated directly to course managers?
No. NMPED staff will work with Lexia to acquire any missing attendance records and update attendance on the trackers.
What is the process for submitting a participant’s certificate of attendance if the participant is marked absent on the Eligibility Tracker but attended the session?
Course managers are not responsible for submitting certificates of attendance to the NMPED. Participants who notice facilitated session attendance, assessment scores, or time spent completing online coursework discrepancies between their records and what is reported on the Eligibility or Attendance Tracker should complete the Discrepancy Reporting Form or the Records Review Request Form as applicable. Participants will be able to directly upload Certificates of Attendance and LETRS transcripts through these forms.
The Discrepancy Reporting Form is for participants in ongoing or recently ended Phases.
The Records Review Request Form is for participants in Phases that ended more than three months ago.
Please direct participants, including those taking the LETRS with a Principal's Primer course, to the website to access the appropriate form.
Note: The Trackers are updated monthly by phase. Participants should not report discrepancies for the current month or before the monthly phase update has been completed for the previous month.
Do administrators receive certificates of attendance for attending facilitated sessions?
Yes, they do. Administrators must complete both the entry and exit surveys in order to receive their certificates.
If a participant attends the facilitated session of a phase other than her/his assigned phase, will that attendance be recorded?
Yes, the attendance will be recorded. Through June of 2023, the attendance would have been recorded for the phase of the session--not the participant's phase. In order for us to move the participant’s attendance to the correct phase so that it is accurately reflected on the tracker, the participant would need to complete a Discrepancy Reporting Form.
What should participants do if they haven't received their facilitated session Certificates of Attendance?
If participants attend a nationally facilitated session and do not receive their certificates of attendance, they should visit Lexia's Help Center: Certificate of Attendance for LETRS Unit Sessions and follow the troubleshooting suggestions there. If none of them work or aren't applicable, participants should contact Lexia via the email address listed on that page.
If participants attend a locally facilitated session and do not receive their certificates of attendance, they should contact the facilitator directly. The facilitator will follow a procedure for verifying attendance and issuing the certificate of attendance if appropriate.
Do the Cohort Facilitated Session Schedules include locally facilitated cohorts’ schedules?
The Cohort Facilitated Session Schedules on the website only contain nationally facilitated session schedules. We do not have access to locally facilitated session schedules, as LEAs set these themselves.
Can participants from multiple LEAs attend locally facilitated sessions?
Yes! We encourage local facilitators to share links to the sessions with other LEAs. If local facilitators or course managers would like to open their sessions to other LEAs, they should email Christy Quesada with the link to the session, schedule information, and the participant limit. Christy will post the session on the website, and once capacity is reached, Eventbrite will display a message of “Sold Out.”
If we have a local facilitator, do we create our own training schedule? If so, how do we get the schedule to NMPED, and how do local facilitators log attendance for their local participants?
Course managers will receive information about enrolling participants in upcoming phases from Christy Quesada christine.quesada@ped.nm.gov.
Course managers will work with their local facilitators to use the spreadsheet provided by Christy to choose the locally facilitated option, create a facilitated training schedule for their district/charter participants, and share the locally facilitated training schedule with Christy.
Local facilitators must use the NMPED provided Google Slides attendance slides within their LETRS facilitated session slides to allow their participants to accurately record their attendance, provide feedback to their local facilitator and receive an autogenerated attendance certificate.
Failure of local facilitators to use the NMPED provided Google Slides attendance slides will result in inaccurate participant attendance.
How do we track participant attendance in facilitated sessions?
You will track participant attendance in facilitated sessions by using your LEA’s LETRS Participant Progress Tracker Google Sheet. This was shared with all course managers in the Spring of the 2021-2022 school year and again in July of the 2022-2023 school year. If you became a course manager after July 2023, you were granted access after the Course Manager Update form was processed.

What should I do if the information for a course manager in my LEA has changed or if I need to add or remove a course manager?
You will need to complete the LETRS Course Manager Update Form with any changes in course manager information.
Do Course Managers need to take a LETRS course?
Course Managers are not required to take a LETRS course unless they are also elementary educators.
Are there any requirements to become a LETRS Course Manager in NM?
Yes. All LETRS Course Managers must successfully complete the LETRS Course Manager Orientation course on Canvas.
Course Managers should not be classroom teachers.
How do I get a license extension for a participant?
To request a license extension, please send an email to letrsorders@lexialearning.com. In the body of your email, state that you would like to purchase a LETRS license extension for a teacher license and they will reply to you with a secure link to process a credit card.
License extensions are $99 per license per teacher/admin. per year.

How can we find out when licenses expire?
License expiration dates are listed on the LETRS platform. Please revisit the LETRS Course Manager Orientation course for information on finding license expiration information.
Do all LETRS license expire?
Yes, they do.
LETRS 3E licenses and LETRS for Administrator licenses last for two years from the activation date.
All Principal's Primer licenses have expired at this time. The course is no longer offered.
Do participants need licenses to attend make-up sessions?
No. The LETRS licenses allow participants to access their online coursework on the LETRS platform. Participants can still attend make-up sessions even after their licenses expire.
Does a Course Manager need a LETRS license?
No, Course Managers do not need to have LETRS licenses. You will only have a license if you are also a participant in a LETRS course.
Can a LETRS license be paused?
No. All LETRS licenses have set expiration dates. They cannot be paused and restarted with an adjusted expiration date. Participants who do not complete their online coursework before their licenses expire will need license extensions to continue the coursework.
Where can participants find out how much time they've spent completing online LETRS coursework?
Participants can find their time spent completing online coursework when they log into their LETRS account. Participants should find their names in the top right, select Account, and select Transcript. They can find the time logged on their transcripts.
Where can I find a participant’s Lexia/LETRS username?
Log in to LETRS as a course manager and select Manage LETRS. From your Dashboard (below the Active License information), select Participants. Then click on the name of the participant whose username you need. Under Participant Details, you will see the participant’s username.
What is the unit score on the LETRS dashboard?
The Unit Score is an average of the quizzes and unit assessment scores.
How do we add new teachers to our district on the LETRS platform or Eligibility Tracker?
If the teacher was enrolled in LETRS with a previous LEA and is in an active Phase or was in an expired Phase but didn't complete LETRS, select the option to Transfer the participant to my LEA on the PUR Form.
If the teacher already completed LETRS with another LEA and the Phase has expired, the teacher will not be transferred to your LEA.
If the teacher isn't already enrolled in LETRS, you cannot add a new teacher to the platform or your Tracker. You will need to wait until the next enrollment period to enroll the participant.
How do we remove teachers from our district on the LETRS platform or Eligibility Tracker?
If the teachers or administrators are in an ongoing phase--not one that has ended--you will need to complete the NM LETRS Participant Update Request form. Select the option to Remove the participant from my LEA.
If the participant was in an expired Phase, you cannot remove the participant.
If I don’t have course manager access on the LETRS platform, what should I do?
Complete a Course Manager Update Form located on the Course Manager landing page of this website. Lexia and NMPED will use the responses from this form to update our lists and grant access where you need it.
If you've already done this and have received your LETRS Course Manager Starter Kit from Coleen Ferrier, then she has already requested that you be granted Course Manager permissions on the LETRS platform.
If you've submitted the Course Manager Update Form but haven't received your Starter Kit, it means that your request hasn't been processed yet. It will be.
How can I see who has already been enrolled in LETRS so I don’t enroll them again?
You should run either the Participant Progress Report or the License Report on the LETRS platform to see who you've already enrolled. You should also keep records of any participants you've dropped or who have transferred to your LEA so that you don't enroll them again.
If a teacher did not complete a test but their license has already expired, can we give them access to the test?
No. Participants whose licenses have expired and who haven’t finished LETRS will need license extension. See the information under LETRS Licenses on this page.
How often are make-up sessions added to the website?
Locally facilitated make-up sessions are added weekly, so please encourage your participants to check back frequently. However, there are certain times of year where sessions may be offered less frequently, such as the beginning of the school year.
Nationally facilitated sessions are available for participants to attend as make-ups as long as there are seats available. Participants need to register through Swoogo.
Can we request make-up sessions?
If you have a large number of participants in your LEA who need to make up a session, please email Christy Quesada with that information so that she can work with you to find a make-up session.
Is there a waitlist for make-up sessions?
No, there is no waitlist. Participants can register for make-up sessions on a first come, first served basis. Participants should check the website weekly for newly added sessions.
How do LETRS for Administrators sign up for make-up sessions?
They sign up for make-up sessions in Swoogo by attending a regularly scheduled session with another cohort. We are offering additional make-up sessions for administrators, though.
All additional Phase 11 make-up sessions are currently listed on the Phase 12 Swoogo registration site.
What should we do if we have teachers or administrators who started LETRS with a different LEA but are now with us?
You will need to complete the NM LETRS Participant Update Request form to transfer the participant to your LEA.
If the teacher was enrolled in LETRS with a previous LEA and is in an active Phase or was in an expired Phase but didn't complete LETRS, select the option to Transfer the participant to my LEA on the PUR Form.
If the teacher already completed LETRS with another LEA and the Phase has expired, the teacher will not be transferred to your LEA.
What should we do if we have teachers or administrators who've resigned or retired?
If the teachers or administrators are in an ongoing phase--not one that has ended--you will need to complete the NM LETRS Participant Update Request form. Select the option to Remove the participant from my LEA.
If the participant was in an expired Phase, you cannot remove the participant.
How do we add new teachers to our district on the LETRS platform or Eligibility Tracker?

Enrollment for Phase 13 will start in the beginning of August 2025.

Phase 13 will start in October 2025.
When will CMs receive Phase 13 enrollment instructions?
Course Managers will receive the enrollment instructions upon successful completion of the CM Orientation 2025-2026 Canvas course, which will launch in August.
How do participants receive their Participant ID Numbers?
Course managers are responsible for distributing Participant ID Numbers to all participants, including administrators. Rosters containing the Participant ID Numbers were shared with all LEA course managers. The file is located in your Google Drive under Shared With Me.
Additionally, all course managers received their Google Sheets in mid-February of 2023 via email and again in mid-July2023 via email. Please check your email inbox as well as the spam/junk folders for the email from Coleen Ferrier (coleen.ferrier@ped.nm.gov).
If you cannot locate the email, please verify that your contact information is correct on the NMPED's Course Manager Directory. If it is not correct, please update it using the Course Manager Update Form.
If your information is correct and you did not receive the email with the link to your Google Sheet, please email Coleen Ferrier: coleen.ferrier@ped.nm.gov.
If I download the Eligibility Tracker, will my copy continue to update?
No, if you download the Eligibility Tracker or the Admin Attendance Tracker, you will only have information that was current when you downloaded it. Any later updates will not populate on your copy.
Please refrain from downloading and instead bookmark your LEA's LETRS Eligibility Tracker and Participant ID Numbers Google Sheet so that you can easily access it.
What should participants do if they notice discrepancies between their records and what is reported on the Eligibility or Attendance Tracker?

Where can I find my LEA’s Eligibility Tracker?
Coleen Ferrier sent these to all course managers in the Spring of the 2021-2022 school year and again in July of the 2022-2023 school year. If you became a course manager after July 2023, you were granted access to your Google Sheet after the Course Manager Update form was processed.
Course Managers who started in late October 2023 or later received a Course Manager Starter Kit. The link to your LEA's Tracker is in the starter kit.
If you have a Google Account associated with your school email address, you can also find this Google Sheet under Shared with me in your Google Drive.
How do we remove teachers from our district on the LETRS platform or Eligibility Tracker?
If the teachers or administrators are in an ongoing phase--not one that has ended--you will need to complete the NM LETRS Participant Update Request form. Select the option to Remove the participant from my LEA.
If the participant was in an expired Phase, you cannot remove the participant.
Where can I find information about the Reading Endorsement Eligibility Requirements?
Please visit the Reading Endorsement Information page on this website. You can also direct participants to this page, and it is listed on both the LETRS Course Managers and LETRS Participants homepages.
Do participants need to request their Eligibility for Reading Endorsement Memos?
Once a LETRS Phase has ended, NMPED Staff automatically review Reading Endorsement Eligibility Requirements for all LETRS Participants in that phase. Participants do not need to request this review. Those who have met the eligibility requirements will receive Eligibility for Reading Endorsement Memos via email. Please allow up to three months after a phase has ended for participants to receive their memos.
What should participants do if they haven't received their Eligibility for Reading Endorsement Memos?
Memos are issued after a phase has ended--not after an individual participant completes LETRS. If the phase hasn't ended, the participant will need to wait.
If the phase has ended, participants should watch their email for the Memo. Participants should check their junk/spam email folders to make sure that the Memo didn't end up there.
Then, participants should complete the Records Review Request for Reading Endorsement Eligibility Form ONLY IF:
More than three months have passed since their phase ended AND
They have not received their memo AND
They have reviewed their records and the eligibility requirements and believe that they have met all of the Reading Endorsement Eligibility Requirements. Participants should review the Reading Endorsement Eligibility Requirements here: Reading Endorsement Information
If a participant is in a phase that hasn't ended yet--even if s/he personally finished all coursework--s/he should not complete this form.
If a participant is in a phase that ended fewer than three months ago, s/he should not complete this form.
Who is exempt from taking LETRS?
Elementary school educators who have documentation for completing the 3rd Edition of LETRS training or have a CALT or CALP certification are exempt from taking LETRS provided the LEA agrees and submits documentation to the NMPED.
If the participant has a CALT or CALP certification or has already completed the 3rd Edition of LETRS training, s/he should send you that documentation to provide to us.
Fine arts and specials educators who do not provide instruction in reading are not required to take LETRS. However, if they were in a previous elementary education position and started LETRS while in that position, they should finish LETRS.
Educators who completed all 10 modules of LETRS 2E are also exempt, provided that the LEA agrees to the exemption and supplies the NMPED with the appropriate documentation.
What is the passing score on Unit Assessments and Volume Posttests?
All participants must score 70% or higher on both Volume Posttests. In order to qualify for reading endorsement eligibility, participants must score 80% or higher on all Unit Assessments and Volume Posttests.
Will middle school teachers ever be required to take LETRS?
No, secondary educators will be enrolled in AIM Pathways. Please see the 2024-2025 Secondary Literacy Memo that went out to all CMs and district superintendents/charter leaders over the summer.
Should ELD teachers be enrolled in LETRS?
Yes, as of the 2024-2025 school year, all K-5th grade elementary teachers either need to be enrolled in LETRS or should have completed LETRS.
Should math interventionists be enrolled in LETRS?
Yes. Reading is embedded in so much of math instruction. Math Interventionists should take LETRS 3E.
Are instructional or literacy coaches required to take the 3E course or the LETRS for Administrators?
Instructional and literacy coaches should take the 3E course.
Can I enroll a teacher who took LETRS years ago but needs a refresher?
If the teacher has already taken the 3E course under the state initiative, the NMPED will not pay for that teacher to re-take the course. The LEA can choose to pay for re-enrollment. If the teacher was enrolled in LETRS 2E, that teacher can still be enrolled in 3E if s/he/they would like a refresher as long as the state has not paid for a license for that educator yet.
