If you facilitated a session and every attendee is marked absent on the Tracker, there are a few possible reasons this may happen.
Attendance is updated monthly during the first week of the month with the previous month's attendance. So if the session was held this month, its attendance will not be updated until the next month.
If a LCF shares an incorrect session code for the session, participants will not be marked present. Codes and sessions must match in order for participants to be marked present.
Sometimes LCFs neglect to use the NMPED's Attendance and Evaluation slides. If participants don't use the forms in those slides, their attendance will not be recorded and they will remain marked absent on the Tracker.
If you held a make-up session and only participants from expired Phases attended, their attendance isn't updated monthly.
If you facilitated a session and a single attendee or a few attendees are marked absent on the Tracker, there are a few possible reasons this may happen.
All attendance recording is tied to the participant's email address of record. If the participant mis-entered an email address on one of the attendance forms, this will cause the attendance not to record properly.
If a participant did not submit the Pre-Session Attendance Form, s/he/they will not be marked present.
If a participant entered the incorrect session code on the Pre-Session Attendance Form, s/he/they will not be marked present.
If a participant has the Certificate of Attendance and submits it through the Discrepancy Reporting Form, it’s not enough to verify that the participant attended the entire session.
NMPED checks to see that the participant also signed into the session. When the participant hasn’t signed in, NMPED lets the participant know that they can’t verify attendance and that the participant will need to contact the session’s facilitator to follow a verification process.
Absolutely! All LCFs must use the NMPED's Attendance & Evaluation slides for each session, including in-person sessions. Failure to use these slides will result in participants being marked absent and not receiving their Certificates of Attendance.
You will need to submit the Pre-Session Attendance Form for each participant who attended your session. Include the information regarding why you're submitting the form instead of the participant in the Facilitator section.
You will also need to submit the Certificate of Attendance Form for each participant who attended your session.
You should also send the Facilitator Feedback Form to each participant who attended your session and request that they complete the form.
You do not need to contact NMPED to let them know.
Participants in ongoing or recently ended Phases need to submit a Discrepancy Reporting Form to report the discrepancy. NMPED Structured Literacy staff will process the submission and share the outcome with the participant via email.
Participants in expired Phases cannot report discrepancies unless they also now qualify for Reading Endorsement Eligibility. In that case, participants should complete the Records Review Request Form.
No, you may not. This form is for participant use only.
Yes, you will need a facilitator's license. These expire after one year. The state pays for local facilitators' licenses.
If your facilitator license expires, you will lose access to your LETRS platform resources. Once your license has been renewed, you'll regain access. If your license expires and you have questions about its renewal, contact Rose Olmstead: rose.olmstead@ped.nm.gov.
