Every day! With the exception of Vacations or Holidays which can be booked in advance.
We don't love Timesheets but they are necessary for financial audits, client billing, as well as tracking utilization so we can grow our teams or redistribute resources.
So here is how to Timesheet!
Track a minimum of 7 working hours per day. But don't forget to track any extra hours! If you worked 8.5 hours, log 8.5 hours for that day.
Track all working time, whenever it happens.
Be honest! Track accurately in 15 minute increments.
Be aware of estimated/budgeted/allocated/planned time. If you work on a retainer, check in with your project lead to make sure you're logging your time correctly.
When you're not clear about your next project tasks, proactively talk to your project PM or Account lead.
When you have no client project work, proactively talk to your Resource Manager and Team Lead (supervisor.)
If you're behind on your timesheets and you have extenuating circumstances, let your manager or the Mail Jail team know ASAP.
Client billable dockets are your highest priority. They are planned as part of budget and billed/reconciled to client as a fee.
Client non-billable dockets are next priority, accepted by Client Services as an investment and not billed directly to client.
Internal projects are non-billable and the lowest priority. They should be pre-approved by your supervisor or a Resource Manager.
Other Admin dockets include:
Paid Leave
Vacation
Statutory Holidays
Sick Days
Other: Personal, bereavement, Jury Duty, Training
Admin time includes Vacation Days, Personal Days, Sick Days, etc. and includes the following circumstances:
Time that is:
Not specific to any project
Not specific to any client
Work-related
For example:
Meeting with your manager, HR
IT/Computer problems
Attending an interview
Through timesheets, we’re tracking how busy everyone is. We rely on these numbers to help make informed decisions about when it’s time to hire new staff or redistribute work.
