Before a project begins, please go to your shared job status and fill in the required information. This includes all the fields highlighted in yellow on the status sheet. Once that is complete, your Finance Coordinator will provide you with a docket number and (if applicable) an SAP number. If need access to your shared status, ask your Team Lead or Finance Coordinator for the link!
In order to issue an estimate, the following must be provided to your Finance Coordinator:
Description/Scope of Work
Total cost
Cost breakdown - how much is fees and/or hard costs & how those costs should appear to client
If required, relevant backup documentation, e.g. quotes from Video Nerve, etc.
Send to your Finance Coordinator for a formal client facing estimate
Before an estimate is sent to client, it must be approved and signed under "Agency Representative" based on signing authority:
Account Supervisor: up to $25,000 CAD
Account Director: up to $250,000 CAD
Management, VP Brand Directors, Group Account Director: No Limit CAD
Client approvals should come either in the form of a signed estimate or signed SOW
An estimate will not be considered approved without proper documentation. This may delay issuing POs, paying vendors, and/or billing.
