We use Frontline Absence Management to track and fill staff absences.
All absences must be approved by your supervisor.
Past absences cannot be entered into Frontline, you must fill out a paper absence request form.
Frontline via the Web: Once you have activated your account, you can access the system via the Frontline app in Classlink.
Frontline via the Mobile App: The mobile app can be found by searching for "Frontline Education" and using your building Pin:

Frontline via the Phone: You can also call Frontline toll free at 1-800-942-3767 and follow the voice menu to enter and manage absences and access other features. I recommend that you call in to check the computer recording of your name and title. To do this, press Option 5 and follow the prompts.
When entering an absence via phone, please wait until you receive a confirmation number before you terminate the phone call. Your transaction is not complete until you receive a confirmation number.
You are NOT required to create an online Frontline Account for Phone access. You automatically have Phone access. However, to gain Web access you must create a Frontline Account via your personal invitation email.
ABSENCES:
All absences need to be approved by your Supervisor.
Absences can be full, half day or hourly. Please be sure to be specific with the times. Some staff can also mark "sub not needed".
You can create an absence up to 30 days out via phone and one year in advance via web.
Cutoff Times: You can enter day of absences up to 2 hours after your school start time. If you think you might be sick the following day, I recommend creating the absence before 7pm so the system will call the night before. You can cancel an absence up to 12 hours in advance.
SUBS:
Call Times:
Morning: 6:00 am – 11:59 pm (for absences within 24 hours)
Evening: 4:00 pm – 8:00 pm (for future absences)
For future absences, frontline will make calls 2 days prior, again 1 day prior if unfilled and again the morning of if still unfilled.
For day of absences, the system will make calls continuously the morning of and will continue until 11:59am.
Available Subs: When you post an absence the system only calls available subs. If a substitute's background check has expired they will be excluded from the list.
Preferred Sublist: I highly recommend creating a preferred sub list. You can choose 5 substitutes who will be the first to see your absences and you can assign them to absences. You can also exclude subs and they will not see your absences.
Assigning Subs: You can assign subs when you create an absence but you MUST contact them first and make sure they are available. Be sure to check with them BEFORE assigning the absence. To assign a sub, they must be on your preferred sub list and must be available that day.
Visibility: Absences are visible first to your preferred subs. Shortly after, the absence is visible to the building preferred sublist and then ultimately to the rest of our sub pool. Visibility is set up in 10% increments. For example, if you enter an absence for 10 days from now, your preferred subs will see it first, one day later the building subs and one day after that the district subs have visibility.
Notifications: When your absence is filled, you will receive notification via email. If the sub cancels, you will receive notification. If we have a snow day and your absence was filled, the system will notify the sub for you. You will not receive a notification if the job is unfilled but you can check your dashboard for updates.

Our school uses Frontline Absence Management to fill staff absences and this is your official welcome letter with information about setting up your account. Frontline utilizes both the telephone and the Internet to assist you in locating jobs and is available 24 hours a day, 7 days a week.
Frontline via the Website: You will receive a personal invitation email with the Subject Line: MOT Charter invites you to Absence Management. Simply click the blue box, “Create a New Account.” Create a Username, Password, email address, and click the “I accept the terms and conditions” box. Click “Create Your Account” and you are in!
You can search for and accept available jobs, change personal settings, update your calendar, and personalize your available call times by visiting Frontline on the internet at http://www.aesoponline.com. If the employee has uploaded lesson plans on the Internet, you will be able to view them online once you take the job.
* You are NOT required to create a Frontline account for phone access. You automatically have Phone access. However, to gain web access you must create a Frontline account via your personal invitation email.
Frontline via the Phone: You can also call Frontline's automated voice instruction menu at 1-800-942-3767. Here, you can proactively search for jobs and manage existing jobs. I recommend calling in to check the computer recording of your name by pressing Option 4.
The system will also make phone calls to substitutes to offer jobs 2 days prior to the date.
* If you accept a job, you will be issued a confirmation number. Please remember that your transaction is not complete until Frontline supplies you with a confirmation number.
To set up the mobile app you’ll need our District pin: 7354 **unfortunately, the mobile app is not free for subs and is a yearly subscription.
Tips for Finding Absences: Be Proactive!
Log in to Absence Management or call in frequently because the system will only make calls when an absence is 2 days out.
When you receive a call from frontline try and answer instead of letting it go to voicemail.
Save their number in your contacts so you know that its not an unknown caller.
Be available: Absences can be full, half day or hourly. Please be sure to be specific with your unavailable times so that you maximize your absence visibility. You will not receive calls or be able to see absences online if you have marked yourself unavailable for an entire day.
Visibility: Visibility of absences vary for each sub according to which teachers have you listed on their preferred sub list. For example, when a teacher enters an absence for 10 days from now, preferred subs will see it first, one day later all K-8 subs and one day after that the district subs have visibility.
Assigning Subs: Teachers can assign subs when creating an absence but they MUST make sure you are available first. Please let us know if you have been assigned to an absence without accepting first.
Calls: You can select what times of day you are willing to receive calls.
For future absences, frontline will make calls 2 days prior, again 1 day prior if unfilled and again the morning of if still unfilled.
For day of absences, the system will make calls the morning of. You will need to reject the job to discontinue calls.
Cutoff Times: Teachers can enter absences up to 2 hours after school start time and can cancel an absence up to 12 hours in advance.
