Maintaining professionalism in the workplace fosters a positive environment, enhances productivity, and builds strong working relationships at PS1. Below are key principles of proper office etiquette:
Respect Personal/Communal Space
Knock before attempting to enter a closed office. Refrain from entering unless you are given permission to do so.
Avoid leaning on someone’s desk or workstation. Maintain appropriate levels of personal space.
Use shared spaces (e.g., breakrooms) responsibly, dispose of personal trash/recycling and leave them clean for the next person. This includes wiping up spills and splatters in the shared microwaves.
Communication
Email: Be concise, polite, and professional. Also be sure to ensure the request you are making is clear. Use proper salutations and proofread for errors.
Response Times: Please allow up to 72 hours for a reply. Your colleagues are currently focusing on several key initiatives, in addition to addressing your inquiries.
In-Person: Speak respectfully and maintain an appropriate tone. Actively listen when your colleagues are speaking and avoid interrupting.
Phone Calls: Keep your voice low and avoid taking calls on speaker unless necessary.
Punctuality
Arrive on time for the start of work, meetings, and appointments.
Respect deadlines and inform others promptly if delays occur.
Noise Management
Keep personal conversations and music volume low.
Mute notifications on devices during meetings or in shared spaces.
Professional Behavior
Show appreciation and give credit where it’s due.
Refrain from gossiping or engaging in office politics.
Apologize sincerely if you make a mistake and take steps to prevent a recurrence.
Managing Workplace Gossip
Steer clear of workplace gossip.
Avoid sharing rumors or participating in negative conversations about coworkers.
Meetings
Arrive prepared and on time.
Stay focused on the agenda and avoid unnecessary distractions (e.g., checking your phone/email).
When topics arise that only pertain to a few members of the meeting, please reconvene in a separate sidebar.
Sharing Resources
Reserve shared equipment like conference rooms in advance, and honor time limits.
