Preparing for the testing day for School Test Coordinators (STC) and Test Administrators (MLPS)
A week before testing, review the ML caseload spreadsheet in your school's Google Drive folder
This step allows time to see if any student's records need to be checked, as they may show coded AW or appear blank.
Check the new caseload spreadsheet against the MLPS' caseload spreadsheet to see if there is any discrepancy.
Remember that students enrolled after November may need to be entered manually in DRC.
Tickets for each language domain will be on different colored paper and separate envelopes.
The school's assigned MLPS must be the only one signing tickets in and out with the STC.
As you create your schedule, this will help identify and group your students.
This will also facilitate the sign-out and sign-in of test tickets with your STC each day.
Create your ACCESS schedule by date, time, and session with the room number/location.
This will allow other team members to assist with testing at your school.
Remember, up to 15 students per Listening, Reading, and Writing testing session is allowed.
If a room accommodating more than 15 students is available, the session must have another TA to monitor the test.
Remember, up to 6 students per Speaking session is allowed.
STC must have paper and pencil available for testing.
Email your school to inform them of the ACCESS test schedule - no ML information, just dates.
Email classroom teachers and the front office or STC with a list of MLs assigned test dates and times.
At the Middle and High School, the front office or STC can assist with calling MLs that may not report to the testing room on time.
Keep a list of MLs taking the test and mark them at the end of each day so that you can track all administered tests for each ML and set up Make-up sessions as needed.
This is very important as students may be absent or leave school early.
After administering the Listening and Reading domain tests, set up groups according to the correct grade and tier cluster (ELEMENTARY).
Remember that Listening and Reading tests must be administered first to determine the tier for Speaking and Writing.
Only 2 language domain tests may be administered per day.
Speaking and Writing may be administered in any order.
Speaking test - only 5-6 MLs are permitted per session and MLs must be grouped by the correct grade and tier cluster (Elementary).

Kindergarten - individual test (may take a break - indicate on the booklet 1 or 2 sessions)

Remember, no devices are allowed during test sessions. It must be off and out of sight.
Tests must be completed on the same day.
Using desktops and Chromebooks for ACCESS
If you plan to use a computer lab at your schools to test, please let your MLPC know ASAP. This information has to be shared with our district network administrator. This update is a bit more complicated and requires an IT person to come to the school.
The Chromebooks will be remotely updated. However, if you get an error message about joining an ORG Unit, this is the information you will need to input to correct this error.
