Visa Application and Renewal Guidelines
At King Henry VIII College Malaysia, we are committed to ensuring a smooth transition for our international students. Obtaining the correct visa is a crucial step for legally residing and studying in Malaysia. Our dedicated Visa Liaison Officers are here to guide you through the entire visa application process and address any related concerns.
Visa Types and Validity
Types of Visas:
Student Pass: Issued to students for the duration of their studies.
Guardian Pass: Issued to parents accompanying students.
Dependent Pass: Issued to biological sibling under 3 years old age who residing with the gradian accompanying students.
Validity:
Passes are generally valid for one year, aligned with the insurance coverage period. Guardian and Dependent visa holders must ensure their medical insurance aligns with the child’s one-year visa validity. The school can assist in providing insurance-related details.
Passport requirement
The passports for students, guardians, and dependents must have a minimum validity of 24 months (2 years).
A minimum of 10 blank pages must be available in the passport.
Parents for Boarding Students are not allowed to apply for a Guardian Pass
KH8 document submission timeline:
Every Monday (except public holidays): Document received before Friday, 10am
Every Thursday (except public holidays): Document received before Wednesday, 10am
International students who do not hold a Dependent Pass are required to apply for a student visa.
STEP 1: Payment for Tuition Fees & Visa Processing Fees
Kindly ensure full payment of the tuition fees and visa application fees for your children in accordance with the Schedule of Fees (SOF) provided with the offer letter. If you have any questions regarding the fee structure or payment status, please do not hesitate to contact finance@kinghenryviii.edu.my.
New Visa Applications:
Fee: MYR 1,800 (non-refundable) per application.
This fee remains non-refundable regardless of the application outcome.
Visa Renewals:
Student Visa: MYR 800.
Guardian/Dependent Visa: MYR 1,800.
Payments must be made directly to the Finance Department.
STEP 2: Documents Preparation and Verification
Please ensure that the Support Letter from the Ministry of Education (MoE) is approved as part of the application process.
Kindly prepare all documents listed in the Visa Application Checklist (Chinese Citizens or Other Nationalities). Ensure that the checklist is thoroughly completed. If any required document can only be obtained from your home country, please email a scanned copy to us at visa@kinghenryviii.edu.my for preliminary verification.
All original documents, along with their English translations, must be submitted together. Translations must be verified or notarised by the relevant Embassy or High Commission. Please note that Immigration Malaysia only accepts translations certified by the Malaysian Institute of Translation & Books (ITBM) or the respective Embassy.
STEP 3: Guidelines for Traveling to Malaysia and Visa Application Process for International Students
Pre-Arrival Checklist
MoE Support Letter:
KH8 will apply for this support letter on your behalf. Processing takes approximately 4 weeks. Avoid purchasing flight tickets until the support letter is issued.
Required Documents:
Ensure you bring both the original and translated versions of all required visa application documents as outlined in the provided checklist.
Email-scanned copies for preliminary checks before final submission.
Submit the original documents, translations, and passports to the KH8 Visa Office within the first week of arrival.
Document Security:
Secure all documents safely in your luggage well in advance to prevent last-minute issues during travel.
Flight Itinerary:
Kindly provide your confirmed flight itinerary to the KH8 Visa Office for record-keeping purposes.
Malaysia Digital Arrival Card (MDAC):
Complete the MDAC online through the Immigration Department website.
The MDAC can be completed as early as 3 days before arrival or upon arrival in Malaysia.
Visa Entry and Processing
Entry Pass:
Upon arrival, students and guardians will receive a single-entry visit or social pass valid for 30-90 days, depending on nationality.
Visa Processing Time:
Student Visa: 3–4 weeks.
Guardian/Dependent Visa: 4–6 weeks, following the Student Visa approval.
Important Notes:
Avoid making travel arrangements during the visa processing period to prevent complications or delays.
Ensure you complete the Malaysia Digital Arrival Card (MDAC) and carry all required documents for smooth entry into Malaysia.
Application Process Overview
The KH8 Visa Office oversees and guides students and guardians through every step of the process.
By following these guidelines and timelines, we aim to ensure a smooth and stress-free entry and visa process for all international students and their guardians.
STEP 4: Documents Submission to Visa Liaison Officers
Please submit your documents to the Visa and Admissions Office.
For new applicants, kindly ensure that your documents are submitted within the first week of your arrival.
For renewal applicants, renewal applications may be submitted three (3) months before the expiry date of your current visa. Any late submission of an application may result in an overstay case requiring an enforcement process and will be deported to your home country.
