Any staff member involved in a District summer camp will need to follow the procedures set forth by these guidelines for any work outside of extra pay positions.
Consultants from outside the District may be paid honorariums in accordance with District policy.
All camp worker names must be submitted to appropriate activities principals prior to start of camp.
ALL NEW SUMMER NON-SCHOOL EMPLOYEES (this also includes District students) must schedule and appointment and then report to the Human Resources Department at IPC prior to working camps to do the following:
Not necessary for high school students – they have minimal paperwork to complete, but do need to contact Human Resources for an appointment.
Criminal background check (no charge)
**Must bring driver’s license, social security card, and voided check or savings account slip for deposit to checking or savings account**
All paperwork needs to be taken care of before student contact is allowed.
Camps With No Student Fee
All camp expenses and the source of income must be approved by the Principal/Designee. All funds involved in the camps will run through each school’s Trust and Agency Fund. The Trust and Agency Fund becomes a “clearinghouse” for recording and paying all expenses except salaries. Salaries will be paid through the payroll system. Hiring of personnel will follow procedures established by the Human Resources Department.
Guidelines for Camps with Student Fees
Expenses cannot exceed income. Any loss of revenue is the responsibility of the Camp Director.
All funds involved in the camps will be run through each school’s individual Trust and Agency Fund. The Trust and Agency Fund becomes a “clearinghouse” for recording and paying all expenses except salaries. Salaries will be paid through the payroll system. Hiring of personnel will follow procedures established by the Human Resources Department. The Assistant Principal in Charge of Activities, Camp Director or Principal/Designee are responsible for collecting fees and other camp revenues and submitting them to their Trust and Agency account with a detailed accounting of participants, fees collected, and any other revenue.
Schools holding a combined camp with two or more schools must designate a Camp Director or Directors and submit all paperwork in accordance with the listed procedures to their individual Trust and Agency Fund.
The Assistant Principal in Charge of Activities, Camp Director, or Principal/Designee will:
Collect fees and registrations
Handle advertising and printing
Order resources, e.g. -shirts and awards
Pay expenses (Exception: salaries)
All non-school employees working camps must have the following information to Human Resources at IPC prior to the camp being held:
Driver’s License
Social Security Card
Copy of fingerprints (no charge)
Criminal background check
