The SFSD Fine Arts department strives to make the experience for all students and directors from across the state first rate and organized when the SFSD hosts the event. When the event is in Sioux Falls, the SFSD will support the SDHSAA event with both personnel and equipment resources. In Sioux Falls, the SFSD will provide a site chair, usually the coordinator of fine arts, to oversee and organize the logistics of equipment transfer, set up and tear down, and serve as liaison and general assistant to the SDHSAA. SFSD orchestra teachers will assist with needed equipment transfer, set-up and tear down at the event. The SFSD choral faculty will support any needed logistical and organizational help required by the SDHSAA for chorus.
The coordinator of fine arts will oversee logistical and equipment support for the SDMEA conference in addition to ASCO.
When the event is out of town, the coordinator of fine arts will organize all bussing, itinerary, hotel accommodations, and meals for the group on the trip. The fine arts coordinator will travel with the group to assist with group logistics and supervision. Students are responsible for funding of their own meals and any incidentals on the trip. Teachers receive the meal per diem and housing through the district.
Each high school will provide equipment for ASCO and SDMEA on a rotating basis. Schools must plan to be without timpani, assorted mallet instruments, assorted cymbals, concert bass drum, and various other equipment from Thursday through Monday, with equipment returning during the day on Monday.
Music stand needs will be divided between the four schools. Each high school will have a reduced number of music stands during ASCO and the conference.
Each school should provide their best concert equipment in top repair. Timpani should have properly operating pedals with properly tuned fundamentals (please check and finetune the fundamentals before sending), vibraphone and chime should have pedals functioning properly, and schools should send high quality full-sized crash cymbals.
Equipment needed for 2025:

2 conductor podiums. One for the choir conductor and one for the orchestra conductor. (if 3 are available, we could use one in the orchestra rehearsal space, one for the orchestra conductor in the Premier Center, and one for the choir conductor)

Payments for District-organized group meals. Students are responsible for covering the cost of all meals, including those organized by the District. The District will invoice each school/program's T&A account for District-organized meals. Schools/programs should collect these funds from students and deposit into their respective T&A accounts. Do not send individual student checks/cash to the District office.
Auditions: When auditions are are within 15 miles of Sioux Falls (ie Augie or BVHS), students are allowed to drive themselves to their audition. You must notify parents and it is recommended to use a parent permission form (template).
All-State Show Choir: Students auditioning for All-State Show Choir must be enrolled in one of their school's show choir ensembles OR curricular choirs.

This includes SD-ACDA Junior Honor Choir, MS All-State Band, MS All-State Jazz Band, and MS All-State Orchestra.
Student: Registration fees, when applicable, will be paid for by the school building. Students are responsible for their own transportation, hotel room, and any other expenses.
Teacher: The District will pay for mileage and hotel room for one director from each school. Please note that directors are to carpool and share hotel room except Male vs. Female arrangements. If a director does not wish to share a room, s/he must pay for a hotel room at her/his expense. $20 (see the current district rate) per day reimbursed for meals. Directors will need to submit an out-of-district travel request in InSite which is how you will book your hotel. After the travel funding has been approved, you can work with Brenda Harold to book a specific hotel. Submit a substitute teacher request in SEMS.
Principal Responsibilities: Principals will approve leave requests, which will be forwarded to the Fine Arts Coordinator for travel funding approval. Once funding is approved, Brenda Harold will book hotel rooms. Each building is responsible for paying substitute teachers.
General Procedure:
Talk to building principal about the event.
Submit out-of-district travel request to building principal, who approves the "leave request only" and then forwards to Shane.
Shane approves the "travel funding only." This is then sent to Brenda Harold to make hotel reservations.
Put in substitute request in SEMS (see principal for code).
After returning home, go back to InSite to submit any claims for reimbursement.
