Parent Organizations and Booster Clubs
The District recognizes and appreciates the efforts of parent organizations to support the co-curricular activities within the schools. Activities that use the name of the school or District, must adhere to District policies, procedures, and financial safeguards. Refer to Policy KJA. The Principal/Designee must ensure that the policies, procedures and financial safeguards are distributed and implemented.
Chaperone Requirements
Rotational/Overnight/Extended Travel: Male and female chaperones (adults over 21 years of age) are required to accompany the group. The ratio shall be ten students to one adult of the same gender. (See Regulation IJOC-R – School Volunteers for overnight chaperone requirements.)
Field Trip: At least one chaperone per group as assigned by administration must accompany students on a field trip.
Fine Arts Chaperone Guidelines
Chaperones, section leaders, accompanists, and special clinicians (choreographers, flag, and drum line coaches, etc.) traveling with students should meet all District chaperone requirements, policies, and procedures.
Prospective chaperones must complete the application form provided by the director. A committee consisting of the director, a building principal, and the district fine arts coordinator will review applications to select chaperones. Cost for chaperone travel will be discussed at the time of application.
Talk with your building activities principal for guidance for volunteers.
Negligence in following the instructions and procedures for chaperone/volunteer vetting potentially endangers student welfare and exposes the director, principal, and fine arts coordinator to substantial liability. There are three responsible parties in ascending order to make sure procedures are followed:
1. Director 2. Principal 3. FA Coordinator.
