Making Purchases - Equipment

Equipment (Or other materials that will be owned by ISD 192)

Booster clubs wishing to purchase athletic equipment for their teams, or activities supplies for their program, must go through the Head Coach and the athletic/activities department for approval. Boosters clubs should not purchase equipment independently. When equipment is purchased, from donated funds, it becomes the property of the school district.

After the head coach/advisor and the athletic/activities director have approved an equipment request, the booster club should donate the funds to the athletic/activities department, specifying its purpose. The athletic/activities office will then complete a purchase order to initiate the order. All equipment and supplies must be shipped to a school district address.

Booster clubs should not order materials directly or have materials shipped to someone's home.

The athletic department cannot give out the school district tax-exempt number. Sponsors making donations must follow the above process for purchasing equipment.

Equipment that will be used on an annual basis must be purchased by the School District because:

  • Equipment must meet certain standards.

  • If boosters purchase the equipment they own it and the liability that goes along with it.

  • The district has business relationships with vendors that can bring down costs.


The district does not enter into co-ownership of equipment or supplies with boosters. Boosters, with foreknowledge of the costs involved, and approval within their budget, can choose to make a donation toward a piece of equipment or uniform purchase. The donation must be approved through the booster’s budget process ahead of the transaction. There is no obligation for a booster to cover costs brought before them that have not been pre-approved in their budget.

  • Independent booster clubs MUST communicate with the Activities Office when making a donation to purchase equipment.

Purchases will not be made until ISD 192 has received the booster funds necessary to make the purchase.

Booster Clubs Should...

  • Have the District make all equipment purchases.

  • Make a financial donation to the District for the purchase of equipment.

  • Communicate the intention to make a donation to the Activities Director via email.

  • Upon approval, write a check payable to Farmington High School.

  • Turn in the check to the Activities Director for processing.

Booster Clubs Should Not...

  • Purchase any equipment independently.
