Grant Requests
A grant request of ¥150,000 for new library books was submitted by Kristin Dixit.
Books will be purchased through Follett Library.
Total PTA grants distributed to date: approximately ¥798,000.
Vote result: Approved (13 in favor).
A grant request from Ms. Erin for ¥10,000 to purchase storage containers for organizing the elementary outdoor shed was discussed.
It was suggested that ¥10,000 may be insufficient, and an increase to ¥15,000 was recommended.
Vote result: Approved (10 in favor).
Spring Bazaar Updates
Vendor participation is currently limited, with 6 vendor spaces filled.
Class representatives are encouraged to reach out to potential vendors.
Parent volunteers are needed for the event. Opportunities include:
Running booths
Donating baked goods
Assisting with event setup during the preparation session the day before
Student-run booths will include: tacos, curry, buffalo chicken, hummus, and pancakes (organized by the student council).
The event schedule, including the band performance, was briefly reviewed.
Gym layout:
Largely unchanged from last year
Additional space will be allocated for DEIJ to promote their activities
Additional Updates
New tables purchased through PTA grants have arrived.
They will first be used by middle school students for the science fair.
After use, the tables will be folded and stored on the main stage for easy access during future events.
Students who participated in the Model United Nations trip to Cambodia (supported by PTA grants) will give a presentation to share their experiences.
The current list of volunteers was briefly reviewed to identify grades that still need additional support.
The new Head of School will be visiting next Monday for an informal coffee and social gathering.

Athletics Update (Mr. Rankin)
HIS is currently an affiliate member of the Western Japan Athletics Association (WJAA), which means no voting rights and lower priority for tournament participation.
Beginning next year, international schools in Japan will transition from the WJAA to the All Japan Athletics Association (AJAA).
HIS will become an official AJAA member.
Mr. Rankin will serve as a member of the AJAA board.
Benefits of AJAA membership include:
Voting rights
Ability to host games once soccer field renovations are complete
Middle school students being able to travel and compete in tournaments
Hosting tournaments in the future may provide fundraising opportunities and help strengthen social and school connections.
The sports participation fee will increase from ¥30,000 to ¥40,000.
PTA Fee Increase Discussion

A proposal was made to increase the PTA fee per family by ¥5,000 (from ¥5,000 to ¥10,000).
A question was raised about collecting fees per family versus per child, noting that the current system functions as a discount for families with multiple children.

Huskies Goods Update
New product ideas are being explored, including HIS aprons and sweatpants.
The team successfully sold items to the Niseko campus, which was well received.
PTA Grant Updates
Ms. Erin shared a thank you for the PTA grant that allowed guest speaker Andy Wright to visit the school. Feedback from students and attendees was very positive.
Ms. Pepper shared photos from her classroom showing a wobble chair purchased with PTA grant funds. Students are enjoying the chair and using it effectively.

Requesting ¥100,000 to purchase 20 event tables to replace old chairs.
The event tables cost ¥7,980 each.

These would be used for students with ADHD to funnel their energy while working in class constructively.

Fall Festival Summary
Raffle Tickets were lower than last year by ¥50,000.
Total earned was ¥942,600.
The volunteer request format this year was different than previous years, and the result was successful.
Each milepost was assigned a certain number of parent volunteers to participate.
Providing options for parents to choose how they can contribute to the community by choosing donation of items, money and/or volunteering.
Many new parents signed up to volunteer
The tickets were not bundled appropriately for counting.
Suggested that everyone needs to know what to do after the festival to ensure that everything is cleaned properly.
At one point, there was only one teacher in the MPR
Miscellaneous
Project Santa is requesting gift donations for a local children’s home.
Gillian Smith will fill the role of PTA Secretary for the rest of the year, as there was no one elected this year.

Mr. Pangier Grant Request
There has been an increase in the amount requested from ¥115,000 to ¥140,000
This would fund 2 Nikon cameras.
Suggested that the cameras could be shared between Publications and PTA.
Other options include: finding older cheaper models, asking the community for camera donations.
There is concern about the amount of money that the PTA would have to pay for the 2 high-end cameras.
¥60,000 was decided as an appropriate amount for getting the photography equipment and approved by the PTA.
Ms. Harman Babysitting Training Grant Request
Another request has been placed requesting additional spaces for students.
Asking for ¥22,800 to add four more students.
The request was discussed and the PTA voted to approve with 17 people voting “Yes”.
Halloween Candy Donations
PTA request asking parents to help by donating candy.
The purpose is to distribute to the students for Halloween and fall festival game rewards.
Candy donations have already begun but more are needed.
Fall Festival
This year this a new approach to asking for volunteers.
Each milepost will be assigned to a booth and parents will be selling raffle tickets, drinks and cotton candy.
If a parent cannot assist with the event, they are asked to donate instead to help provide resources to the event.
The change is due to the need for more help for the event and increase efficiency.

Ami Uchida has stepped down due to personal circumstances.
There are two event officers this year are Ayako Hiura and Miwako Tateda.
Financial Report
The Treasurer shared the current PTA account balance.
¥ 845,000 was received from PTA fees in 2025/2026.
Last year ¥1,006,200 was spent on PTA grant requests.
It was advised that there ought to be perpetual awareness about how much is spent on each PTA grant request.
The total 2025/2026 PTA grant budget is ¥ 1,000,000.
Baby Gift for Mr. Rankin

A baby set was bought for ¥ 9,915.
The ¥ 9,915 amount was taken from the PTA budget.
Grant Request by Jared
¥ 115,000 yen is requested for a camera and lenses for publication
Due to the shift of students away from social media, there is a request for ¥ 115,000 to ¥ 130,000 yen for the purchase of camera and equipment.
A Nikon Z50 Mirrorless Camera: Mr. Pangier has experience with this brand of camera.
Due to the expense of the cameras, there has been a request that parents approve reimbursement if their child damages the equipment.
These cameras have many features that would allow students to learn more about photography
Newer mirrorless cameras have the advantage of not being as heavy as mirrored cameras, making them easier to handle when on excursions.
Jared is open to any cheaper options that are Nikon and produced in the last two years.
The cameras are used for the creation of the yearbook.
With the introduction of the removal of phones from the school, Mr. Pangier would like to expand into education on photography.
PTA is requesting more information: number of students, cheaper options, donations, etc.
The vote will be conducted at the next PTA meeting.
Husky Goods Sales
In future Husky Goods will only be selling goods during events.
They are unable to take personal or individual orders outside of these occasions.
This is because there are many volunteers needed to facilitate the process. As a result, taking orders outside of events are very taxing.
Dates when orders are being taken will be advertised.
Fall Festival Volunteer Proposal
There is a desire to bring in parents to volunteer for the Fall Festival.
There have been previous strategies used to request parent volunteers but the same parents are repeatedly volunteering.
There is a fear that these parents will feel burnout.
PTA asks that 5 parents from each class volunteer and that teachers become involved in requesting parental aid.
Parents are asked to encourage the parents in their friend circle.
Red Cross Babysitter Training
The babysitting course would provide standardized training for those who enroll in the course.
This course can be added to résumés.
¥ 6,600 yen per person
Up to 5 students can take the class depending on the interest.

2024/2025 Reflections
The PTA was given positive feedback for how the meetings, events and processes were carried out.
Grants: for accounting purposes, asked for receipts to keep track of money spent and records
Parents are not checking-in, and outside people are coming into the school. Concern about people not checking into the school was expressed. More effort will be made to inform parents of the need to sign-in before proceeding into the school. It was noted that there is surveillance at the school entrance.
Communication issues were present for the PTA/school collaboration events and it was pointed out there needs to be better communication for what parents and teachers ought to do.
Clarified that PTA instructs parents and school instructs teachers.
Concerns about PTA input in regards to scheduling the collaborated events.
The desire from a parent for rumours to be addressed and discussed with parents in the future.
It was noted that there are disciplinary procedures and a concern for privacy around individuals involved in the incidence.
Summary from treasurer
There were no major expenses after spring other than albums and gifts.
When there are significant occasions/occurrences with teachers, gifts and/or tokens are given on behalf of the PTA.
¥3.7 million is currently in the account
¥200,000 will be subtracted for the elementary guest speaker because it has already been approved during the April meeting.

1. Updates
o The co-chair 3 year maximum term has been passed by the school board
o Makiko will no longer be a PTA treasurer as her daughter will be leaving HIS
o Community BBQ will occur on Friday May 30th for community members only.

§ Volunteers are needed to get food for Costco, start the BBQs, check on the state of the BBQs
o At the end of the month a survey will be sent out to ask if officers or class reps would like to reprise their positions for the next year. If someone wants to give up their position, the position would be advertised as available for so the position can be filled by the end of the tear.
2. Grant Requests
o Elementary request for ¥200,000 for a guest speaker fund
o These guests could include book authors, athletes, performance groups, community members, magicians, clowns (possibly).
o The amount was determined based on the same amount being granted to the secondary school speakers’ fund.
o This would be for next year.
o The request has been passed.
3. PTA Funding Increase
o The PTA funding taken from parents has been the same for years
o The PTA grant amounts have increased
o The school is suggesting that there is an increase in PTA fees from ¥5,000 per family to ¥7,500 per family.
o There is currently approximately ¥3,500,000 in the PTA fund
o Suggested that an explanation for the increase in price be sent out to parents so they are aware of the reasons for the increase in PTA fees
o Suggestions that people could become more involved in order to combat the increase in the PTA price increase
o Suggested that donations could be an option to increase the amount of money that the PTA receives. This could be a good option for parents that are unable to donate their time the help organize events.
o Another option is to promote more parent participation with the PTA
o Suggested that there is a limit set for how much would be for grants from the PTA. In previous years, the limit was ¥1,000,000.
4. Spring Bazaar
o 15 people currently want vendor spaces
§ Space will be 2.0m by 1.5m
§ They will pay ¥1000
§ There will be children occupying vendor spaces to sell their own wares
§ Money will be used as opposed to tickets for transactions
§ Emails will be sent out that will include more information that outlines necessary information
§ Up to 3 student desks can be used per vendor: they are free to be decorates
§ It is best that outlets are not requested because the spaces are located in the middle of the room and therefore a tripping hazard
o Food sold by students and the PTA will be purchased with tickets
o There are enough volunteers for the PTA booth
o There are not enough volunteers for the bakes goods booth
o There are a lot of donations so far, but please remember that the items are asked to be new or gently used. Deadline for donations is the 18th of April, 2025.
o Volunteers are needed for putting price tags on the donated items, for counting tickets and tend the donations booth.
o All the food booths run by the students will be in front of the walls
o 50 chairs will be places for seating in front of the stage
o The Kitara booth will be in front of the screen
o Joy would like to sell African antiques, food (rice and chicken) and drinks
§ Suggested that there are not too many servings so they do not compete with the students as they are trying to fundraise

o Grade 6 hopes that the PTA can give funds for set up, supplies, etc.
§ ¥10,000 per grade was given during the fall festival.

o Suggested that each booth buys the plates and cutlery that they need for their project.
o Asked that the students clean up after the event to help with returning the gym to normal.
§ Suggested that a group of students should be selected to assist in cleaning up after the even and the rest are instructed to get out of the way to avoid hindering cleanup efforts. No more than 10 to 15 students to aim in “the big cleanup”
o The PTA cupboard was recently emptied of a lot of plates and cutlery that was unsanitary.
§ The hope is that by having the booths purchase their own cutlery and plates they can keep the cupboard from getting full, keep the items sanitary and students can learn how to manage their individual enterprises.
o There will be both school musical performances as well as outside performances.

Spring Bazaar
The purpose of the event is to bring the community together. Can also allow students to raise money for activities.
The event is similar to a flea market.

Event officers decided that there will be no outside vendors.
In 2024, ¥1,500 was charged for each outside vendor. There were 4 with a total of ¥6,000.
Did not make much money from outside vendors last year.
Past co-chairs had to communicate with the outside vendors and this could be overwhelming to the new co-chairs.

The PTA needs to reach out to the community for donations.
Volunteers are needed to help sell and organize the event.

CPR Training Updates

Review of PTA finances:
○ Current Balance for the PTA account is ¥4,430,020.
Clarification of PTA voting protocols:
○ Steering committee has the ultimate vote on determine how the funds would be spent
○ A minimum of 8 members at any PTA meeting for a final voting
○ Without 8 members, a final vote cannot be made. This proceeds to an electronic vote of the full steering committee.
○ Ultimately, the people responsible for the funds are the steering committee.
○ Two Proposed processes:
■ Providing there is a minimum of 50% plus 1 of the steering committee members in attendance AND a minimum of 50% plus 1 of the members support the resolution, then the majority vote is passed. (This is in line with the PTA Protocol).
■ Providing there is a minimum of 50% plus 1 of the steering committee members is carried even if the majority of the steering committee is opposed (This would represent a change of the PTA protocols and require Executive Board approval).
Grant Request Votes:
○ Past grant requests are posted on the HIS website for review.
○ Model UN Grant Request:
■ ¥100,000 was approved with a 50-50% distribution of funds between students and school.
Winter Celebration Snack Bags:
○ Goodie bags will be distributed for students this year containing candies, juice and chips.
○ ¥60,000 will be used for the goodie bags.
○ Need help packing the goodie bags: Date will be determined but some time on the last day of the week before winter break.
○ Volunteers for distributing goodie bags are needed for December 19th, 2025.
Teacher Appreciation Day Organization:

○ Supervision is suggested in the future
○ The total amount made was ¥456,640
○ The profit for the PTA is ¥100,000

3. Huskies Goods (Husky Goods Committee)
○ Husky Goods Committee has decided to close the online store due to the highinterest rate of 5.5% charged when processing credit cards during the sale of
goods.
■ Air pay was chosen as a substitute due to the free machine provided.
● A screening process needs to be passed that requires account
information, school name, address, etc. Will take about a week
to process
● Committee was instructed to discuss the involvement of the
PTA in the sales of items with the school office.
○ Once discussed with the office, the committee can
return to the PTA about the substitution of credit card
processing with Air pay.
○ Husky Goods Committee is also requesting ¥100,000 for the purchase of items
to sell.

○ Items sold by the Husky Goods Committee are: Beanies, Bear Bells and T-Shirts
4. Tent Grant Update:
○ Mr. Piazza was able to use parts from two broken tent sets to assemble a
functioning tent set. This has lowered his request from three tents to two tents.
5. Grant Process:
○ A new grant form was proposed to address the need for more information when requests are submitted.
■ Notations to the proposed form were suggested:
● A date indicating when funds are needed by.
● An outline of a time frame for the submission of the form and
processing time, with indication that processing times are
subject to change
● A note that PTA would like applicants to suggest multiple
options when requesting funds; including the cheapest available
options.
■ The form had been approved pending the addition of the suggested changes.
6. Steering Committee: Laptop (Sakura)
○ Requesting one laptop for PTA: for general use by PTA members without easy access to a computer.
■ The laptop will stay in PTA storage.
○ Sakura will return with a request form including the information needed to vote

We are seeking a grant of 50,000 yen to subsidize the purchase of a new badminton net and poles, along with a few badminton rackets for our team.
Safety: Existing equipments are outdated and the sign of wear is visible
Encourage more students to participate: Well-equipped sports program will be more attractive and it will promote healthy lifestyle
Skill Development and inclusiveness: New and improved rackets will facilitate better skill development, and they will allow us to include those who are unable to purchase their own equipment for various reasons
Community engagement: Upgraded equipment will be beneficial not only the students but also provide the opportunity to build community, such as participating in tournament, playing against local schools, etc.

We know that it will be a struggle to get a lot of people to come (with the elementary not part of
the big concert) so we really need the support of PTA to promote

"Model United Nations is an academic simulation of the United Nations where students play the role of delegates from different countries and debate real world issues from the perspective of their assigned country. This is our third year to field a HIS Model UN team and interest has grown every year.
All high students at HIS are eligible to participate in Model United Nations. It requires students attend at least 6 weeks of after-school meetings for research and training in parliamentary debate. All participants engage in rigorous preparation in order to be competitive against other schools.
The culminating event of Model United Nations is attending the annual Model UN Conference in Kobe, hosted by Marist Brothers International School, in February. PTA Grant money will be used to support student and chaperone travel costs to the conference.
Families have agreed to contribute 25,000 yen per student
Group is fundraising, school will be contributing as well.

セカンダリー(ミドル、ハイスクール)のコンサート:5月31日キタラにて(19:00-20:20)
通常、合同で行なっていますが、コロナ後のパフォーマンスであることなど複数の理由により、今回は別々に行います。
保護者からは3つの分野でのサポートが必要
コスチュームの準備、配布:保護者中心で行う
広告、宣伝
プログラムに載せる広告によって寄付をしてくれる人を募る
歴史:数多くのコスチュームの管理、維持が行われている
エレメンタリーがキタラでのコンサートに参加しないことによって、多くの観覧者を集めることが難しいと思われ、宣伝に関してPTAからの支援が必要。
杉野先生によると、保護者一人が1枚のチケットを売ってくれるだけだったとしても、保護者の関わりがと大きな助けになる。
61人の中高生が参加し、370枚のチケットを大人1000円、学生には500円で販売。
過去には、指定席(寄付金付き)を発売したことがあり、今回は3000円になります。

モデル国連は、学生たちがいろいろな国の使節になり疑似国連を行い、実際に世界で起こっている問題について割り振られた国の観点から議論する授業です。HISでこの授業を行うのは3回目で、関心は年々高まっています。HISの高校生は全員、モデル国連に参加することができます。学生は、最低6週間の放課後のリサーチのためのミーティングに参加し、リサーチや議会における討論のトレーニングを受けることになります。参加する生徒は全員、他の学校との競争のために十分な準備をすることになります。モデル国連のメインイベントは、毎年2月に神戸のマリストブラザースインターナショナルスクール主催で行われるコンファレンスです。PTAのグラントは、学生と付き添いが神戸まで、コンファレンスに参加する旅費として使われます。
学生一人あたり、各家庭で25000円まで負担します。
グループはファンドレイジングを行なっており、学校側からの支援もあります。
