Greetings from Secondary!
For this month’s Kontak article, I would like to highlight attendance procedures for Secondary. During HBL and our transition to Blended Learning, it is important that students attend every lesson. In the event of an absence, please adhere to the attendance procedures below. I would like to highlight a few points in particular:
The most efficient way to inform the school that your child will be absent is via the Attendance and Timetable tab in ManageBac.
You can also notify us of your child's absence by contacting the Secondary School Administrative assistants (adminassistants@globaljaya.com). If you wish to contact your child’s Advisory teacher as well, you are of course welcome to do so, but only the Administrative Assistants have the ability to enter attendance for an entire day.
We track attendance by period/class in Secondary School, so it is possible that a student is present for some periods and absent for others in the same day.
Each student is allowed a generous 19 absences per class. Students who exceed 19 absences in any given class risk losing credit for that class, which will impact progression in the MYP and eligibility for the IB Diploma in Years 11 & 12.
When tracking attendance, we do not distinguish between excused and unexcused absences. Absence from class is absence from learning.

Regular attendance is required throughout the year to enable students to obtain the most benefit from their educational experience.
Students in Years 7-12 are expected to attend all classes throughout the academic year. Regular absenteeism results in disruptions to learning and not only affects the absent student but also their peers and teachers.
Attendance is tracked per class in the Secondary School. For example, if a student misses the first two periods, but attends all other classes that day, the student will be counted absent for the first two classes, but present for the rest. A record of your child's attendance is kept by the Head of Year. We do not distinguish between approved or unapproved absences; an absence from class is an absence from learning. Heads of Year will communicate with parents whose child has missed a number of classes and will call for meetings if a child misses 10 lessons, and again at 15 lessons.
Global Jaya School follows the Ministry of Education and Culture recommendation that, in order to earn credit for their classes, students must maintain a minimum of 90% attendance in every class. Because we have approximately 190 school days per year, GJS has set the maximum days of absence at 19 days. If a student misses more than 19 days of any individual class, that student will not receive credit for that class and runs the risk of repeating the year level.
Permission to be absent
The most efficient way to inform the school of your child's absence is to use the Attendance and Timetable tab on ManageBac. This process automatically informs your child's Advisory teacher and the Secondary Administrative Assistants. Please note this is only effective for whole-day or multiple day absences. The three steps to this process are outlined below.
Login to ManageBac using your parent account and click on the "Attendance and Timetable" tab.
Click on "Submit Attendance Excusal".
The dialog box below will pop up on your screen. Select the appropriate date and duration of your child's absence. Provide a brief explanation and click "Submit" and you are done. Your child's attendance will be updated by the Administrative Assistants as needed.
If your child's absence requires more detail than the ManageBac tab allows, or if you wish to report an absence for specific periods rather than the whole day, you must email the Secondary Administrative Assistants at adminassistants@globaljya.com. The Administrative Assistants will change your child’s attendance appropriately. In case of extended absences for non-medical purposes, a letter of explanation must be provided to a Principals. The Principals will give permission for this absence at their own discretion. The absences are still recorded, but the Principal’s decision will be taken into account if an excessive number of absences brings progression into question.
