Student Teachers serving as a substitute teacher: SPECIFIC DIRECTIONS AND GUIDELINES.
To facilitate a successful experience, the university supervisor will be responsible for the following.
Maintaining open communication and rapport with the student teacher, the mentor teacher, and any host school administrators, as needed.
Using this Student Teaching Handbook Website to answer questions from the student teacher and the mentor teacher. Most of the expectations will be explained to the Student Teachers during the main Orientation Session with the Director of Professional Educator Services. Mentor Teachers will receive an email from WKU with links to this Student Teaching Handbook site as well as other updates.
Maintaining regular communication with the mentor teacher to discuss and assess the student teacher’s progress.
Assisting the mentor teacher in developing a Professional Growth Plan (PGP) for the student teacher. See the Evaluation page of this site for more details. PROFESSIONAL GROWTH PLAN / SELF ASSESSMENT - Revised document and instructions to create the PGP and Self Assessment will be uploaded by July 20, 2023.
Observing the student teacher for at least four formal observations and conferencing with the student teacher after each formal observation.
Evaluating the Sources of Evidence upon each formal observation. https://sites.google.com/g.wku.edu/studentteachingsite/sources-of-evidencebinder This evidence should be what is determining a score on Domain 1 and Domain 4 for each of the formal observation evaluation documents.
Reviewing/inquiring about the type and frequency of feedback the student teacher is getting from the Mentor Teacher, including the weekly feedback forms that the student teacher will upload into the Sources of Evidence.
Working collaboratively with the mentor teacher to assess the student teacher's progress, both informally and formally.
Serving as an arbitrator between the student teacher and the mentor teacher should difficulties/conflicts arise.
Notifying the Professional Educator Services Director about any concerns regarding the student teacher's progress. The earlier communication can be made, the earlier we can intervene to help the student teacher be successful.
Submitting all formal observation documents and final evaluation forms (for each placement) to the Office of Professional Educator Services and entering some of that data into Anthology Portfolio account.
The university supervisor will observe the student teacher teaching a minimum of four (4) different times using the KY Framework for Teaching Rubric to guide the evaluation. Two (2) additional visits will occur for the introductory meeting and final meeting to go over the final grade.
Initial visit to meet the Mentor Teacher and Student Teacher at the host school should be completed within the first week, if possible.
Student teachers are formally evaluated at least 4 times in a semester. (At least 2 times in each 8-week placement)
Two (2) formal evaluations each eight weeks followed by a post-observation conference with the student teacher (The student teacher should receive a copy of the evaluation from the University Supervisor after each formal observation or be able to view the final evaluation feedback and scores in Anthology within two days of the post conference.)
The supervisor should evaluate the Sources of Evidence site during each formal observation. https://sites.google.com/g.wku.edu/studentteachingsite/sources-of-evidencebinder This evidence should be what is determining a score on Domain 1 and Domain 4 on each of the formal observation evaluation documents.
Additional scheduled or drop in evaluations, as needed
Final visit : The University Supervisor and Mentor Teacher will conference either in person or through electronic methods. If possible, conduct a 3-way conference with student teacher and Mentor Teacher to discuss the final grade and progress. (The student teacher should receive a copy of the final grade evaluation from the University Supervisor or be able to view the final evaluation feedback and scores in Anthology within two days of the post conference.)
Framework for Remote Teaching This new document gives guidance for remote teaching if NTI (Non-Instructional Teaching) days occur. It only covers 8 of the components (1b, 1e, 2a, 2c, 3b, 3c, 3d, and 4c) but many of the more important ones. It gives tips on both synchronous and asynchronous engagement for each of these 8 components.
OBSERVATION FORM A copy of what is used for each formal observation. Supervisors do not have to use this hard copy form since it is also in the Anthology online program, which is where the supervisor should enter the data.
Student teachers and university supervisors do not need to sign a formal observation evaluation form since the data is entered in Anthology. The student teacher will receive an email from Anthology when the supervisor has submitted the data. These observations will be stored in Anthology and will be viewable to the student teacher to review as well as the Office of Professional Educator Services.
For supervisors who prefer a hard copy when observing, they may use the linked form above, following these steps.
Each time you click on the above link it will ask you to make a copy. This will allow you to create a new form for each observation, if needed.
If you prefer to use Microsoft Word, you may also download any form as a word document after making a copy.
Hard copies of this evaluation tool may be used. However, all data collected on a hard copy must be entered into Anthology Portfolio. Once an observation is submitted in Anthology, it will send an email to the student teacher to be able to view.
Sources of Evidence Needed to show progress on Domains 1 and 4 of KY Framework for Teaching:
The student teacher will keep this updated and WKU asks University Supervisors to review this before finalizing scores on the 4 domains of each formal observation and final evaluation.

EVALUATION OBSERVATION FORM (Student teachers are evaluated using this document at a minimum of 4 times)
Disposition Rating Form Rubric Documentation of a student teacher's disposition is a source of evidence to show the potential for success as a teacher. While student teachers will not need to collect any new evidence artifacts for this one area, they should understand the importance that dispositions play on the success of their future as an effective teacher. The Supervisor and Mentor Teacher will use this Dispositions Rating Rubric to rate the student teacher’s performance on each component. This is completed on the midterm progress report for 16-week one placement student teachers and again at their final evaluation. For student teachers who complete two 8-week placements, their disposition ratings are completed at the end of each of the 8-week placements.
This Disposition information will help determine a final grade for both mid-term and/or final evaluations. The Disposition data will be submitted in Anthology Portfolio account by the University Supervisor.
Final and Mid-Term Evaluations
The final grades on the mid-term and/or final evaluation will be included on the mid-term and final evaluation form that is entered into Anthology. There are no forms to submit to the Office of Professional Educator Services.
Midterm Progress Evaluation The Mid-term Progress form that will be used beginning Fall 2024 for all student teachers with only one 16-week placement. It has a revised scoring guide. ( The University Supervisor will provide this form to the Mentor Teacher to get their feedback to come to a consensus on mid-term scores. This is only completed on individual 16-week placements. Student teachers who have two 8-week placements will have two final evaluations instead. The scores are entered into Anthology by the supervisor.)
Final Evaluation, The Final Evaluation form that will be used beginning Fall 2024 for all student teachers. It has a revised scoring guide. (The University Supervisor will provide this form to the Mentor Teacher to get their feedback to come to a consensus on final scores. Student Teachers who have one 16-week placement will have only one of these Final Evaluations completed. Student teachers who have two 8-week placements will have one of these Final Evaluation forms at the end of each 8-week placement. The scores are entered into Anthology by the supervisor.)
Scoring Guide The new revised scoring guide that will be used beginning Fall 2024 for all student teachers for a mid-term and/or final evaluations.

It is important that the supervisor use the Sources of Evidence documentation to score Domain 1 and Domain 4 at each observation and for the final grade. Supervisors should not only rely on the mentor teacher feedback regarding Domain 4.
The mid-term and final ratings for the KY Framework for Teaching domains and the Disposition data will need to be entered into the Anthology Portfolio Account by the University Supervisor.
Starting in Fall 2022, the Final Grade is a part of the Final Evaluation form completed in Anthology. A separate form that displays the final grade is no longer necessary to submit to WKU.
