STEM Camp Planning Checklist
This checklist helps make sure that everything involved with planning the camp gets done on time. The dates are generalized for a camp held in June, July, or August. For a printable version, click here.
This checklist helps make sure that everything involved with planning the camp gets done on time. The dates are generalized for a camp held in June, July, or August. For a printable version, click here.
Before Camp:
- October- determine camp’s date and location
- October - inquire about the process involved in reserving the location. Mark the earliest possible date to make the reservation in your calendar
- At date ascertained in previous step - reserve location
- April (Post-FRC competitions) - have meetings to complete the following steps:
- Plan activities and do research
- Make a schedule for days of the camp
- Adopt the permission slip to fit dates
- Adopt the flyer to fit dates
- Purchase the necessary supplies
- Practice doing the activities beforehand, if necessary
- Coordinate volunteers
- April - Advertise the camp
- Post camp around town at libraries and local message boards (some stores and local cafes have them)
- April (as soon as permission slips and money start coming in) - collect permission slips and money
- Write and send confirmation emails to parents who sign up
- One week prior to camp - Set up a binder with activities, schedule, rosters, camper information, and permission slips collected
- Earliest possible time prior to camp - pack all materials needed for camp
- April until camp time - continue to communicate with parents, send additional information, etc
During Camp:
- Camp day(s) - run camp
After Camp:
- After camp - send out post-camp survey
