Upon approval of the intake form, it will appear on OpentoClose.com as a "Property" under the "Properties" Tab
Click on the property submitted and review the intake details. Check:
Contacts: Make sure each party is there. For each contact you want make sure they have their full name, phone number, email and business/company name (if applicable):

This period is considered the contingency period where most deadlines for the transaction are being met
On the day of the home inspection, ensure that the agent and the inspector have access to the home
Up to 24 hours after the home inspection, ensure the buyer and the agent have received a copy of the home inspection report
If permitted to draft the Repair Request (or PICRA), coordinate with the agent via text or email (NOT PHONE) to establish what items will be put on the Repair Request (or PICRA)
Send the PICRA out for signatures to the buyer and the buyer's agent
Once the signing is complete send to the listing agent via email for ratification or countering
If countered when sent back, let the buyer (if permitted) and buyer's agent know.
Allow the agent time to discuss with the buyer what their plan of action is and have let the agent know to keep you updated on their decision.
*NOTE: If you have not heard from the agent in 1 day, follow up with them and proceed as necessary
Get the Repair Request (Or PICRA) initialled, then ratified
Send to all parties, except the lender. Upload and submit for compliance.
A week after, the Repair Request (Or PICRA) has been sent check in with the buyer's agent and listing agent on the status of repairs via email.
*NOTE: If they are not complete, follow up every few days or around the time they state it will be completed
Once repairs are complete, collect any invoices. Ensure Invoices:
State the company name
Have the address
Are itemized listing out the repairs that are done and match up with the items on the Repair Request (Or PICRA).
Are uploaded and submitted for compliance
Ensure the buyer's agent, title, and listing agent have copies of the invoices

If the team permits, send an email to the client:

Read through the email ensuring all info is correct and next steps are presented clearly
Send to the buyer and title company
Follow up & Answer any questions

Up to 24 hours after the home inspection, ensure the buyer and the agent have received a copy of the home inspection report
If permitted to draft the Repair Request (or PICRA), coordinate with the agent via text or email (NOT PHONE) to establish what items will be put on the Repair Request (or PICRA)
Send the PICRA out for signatures to the buyer and the buyer's agent
Once the signing is complete send to the listing agent via email for ratification or countering
If countered when sent back, let the buyer (if permitted) and buyer's agent know.
Allow the agent time to discuss with the buyer what their plan of action is and have let the agent know to keep you updated on their decision.
*NOTE: If you have not heard from the agent in 1 day, follow up with them and proceed as necessary
Get the Repair Request (Or PICRA) initialled, then ratified
Send to all parties, except the lender. Upload and submit for compliance.
A week after, the Repair Request (Or PICRA) has been sent check in with the buyer's agent and listing agent on the status of repairs via email.
*NOTE: If they are not complete, follow up every few days or around the time they state it will be completed
Once repairs are complete, collect any invoices. Ensure Invoices:
State the company name
Have the address
Are itemized listing out the repairs that are done and match up with the items on the Repair Request (Or PICRA).
Are uploaded and submitted for compliance
Ensure the buyer's agent, title, and listing agent have copies of the invoices

Addendums are changes that need to be made to the purchase agreement and may be requested by any party
Coordinate with the party that requested the addendum the specific details to place on the addendum
Find the Addendums in the MLS, DreamNet Resources, or Compliance Websites
At the top ensure introductory information has been filled out (Address, Brokerage Firms, Client Names, and Dates)
Then type up the addendum, ensure you are as specifiic and direct as possible, touching on all keypoints. For example:
You don't want to say "buyer to receive $750 credit", say "Seller to provide the buyer with a $750 credit to go towards home inspection requested repairs".

Upon completion, send to the listing sign
Once the addendum is fully executed, ensure all parties have a copy including the lender, title and co-op agent. Upload for compliance.
Send an email in the main thread with all parties, checking in on bank approval:
If it's not in yet, allow another 2 weeks, and then follow up again
If it is in, collect the bank approval letter. Ensure all parties have a copy and that it is uploaded for compliance.
One week prior, send an email to all parties touching base and making sure all necessary documents, contingencies, and necessary actions have been completed by all parties, including on our end.
Schedule the closing Date with title after communicating with the client/agent
Verify the scheduled closing date, time, and location with the title company/attorney and the seller.
Confirm that the buyer has signed and returned all necessary documents (e.g., disclosures, HOA forms, payoff statements).
Ensure documents like the settlement statement and closing disclosure are accurate.
Confirm all necessary documents are in Broker mint to meet compliance
Verify that title clearance and payoff instructions have been completed.
Ensure the title company/attorney has the agent's wiring instructions for proceeds (if applicable).
Ensure the property is marked as SOLD in the MLS, based on the brokerage's protocol
Ensure any agreed-upon repairs or credits are documented and completed.
Ensure the buyer and agent complete the walk-through form (must be signed by buyer)
Confirm the closing is finalized and recorded.
Notify the seller that the transaction is complete and confirm their receipt of proceeds.
CD/ALTA can be received from the title around 1 day after closing. Please submit this and the Walk Through Form to the Brokerage for fund disbursement to the agent and yourself!
