Double click on an open time slot in a provider’s daysheet to book an appointment for a patient
Search the patient by last name and select before entering any information about the appointment
Choose an appointment type from the drop down list
This will automatically select the length of the appointment, however the dentist may ask for more or less time than usual, this can be adjusted by clicking the up/down arrows
If booking a hygiene appointment include the initials of the dentist the patient sees
Include any informatio provided by the dentist at previous appointment, or by patient when booking in (especially for emergency appointments)
This includes the provision of Labwork for insert appointments, please note ‘Labwork needed’ and update this to reflect when the labwork is arrived/ready
Include your own initials in appointment notes when creating an appointment for yourself and other staff/providers to refer back to
Exact will send a confirmation email to patient once booked
If the appointment is being changed to another time on the same day:
Drag the appointment to the new time
If the appointment is being moved to another day:
Drag the appointment to the grey clipboard bar at the bottom of the program
This will copy the appointment as it is and allow it to be placed at another date/time without needing to re-enter any information
Locate the new date/time for the appointment in Exact and drag the original appointment from the clipboard bar into the provider’s daysheet
Please be mindful of Bite’s $150 late-cancellation/no-show fee, and remind patients of this where appropriate when they are rescheduling their appointments within 2 business days
We must block off public holidays, any changes to start/ end times, meetings, etc.
