BEC-TV 2025 Football Crew Info & Expectations
What to Bring:

DO NOT bring your pet snake! (Well, maybe really little ones…)
Pay close attention to the schedule below — only half of the games are on Fridays, and Kennedy and Jefferson will have different start times. Please plan to arrive at crew call (usually around 3:00 PM), not at game time. A big part of production is setup and strike, and we need everyone’s help to make sure we’re ready to roll by kickoff.
The Fall 2025 football schedule is listed below. Note that both Kennedy and Jefferson play on September 12, so we’ll need all hands on deck that night. If playoff games are at home, we’ll cover them. If they’re away, we may travel if the home team isn’t covering the game.
For any games on school nights, we’ll do our best to get students out as soon as possible after the game. Please add all of these dates to your calendar (or subscribe to the BEC-TV production calendar in Google Calendar) and let us know early about any conflicts — including if you’ll need to arrive late or leave early.
Times listed here are Kickoff, Not crew call. Typical crew call is 3 pm for a 7 pm game.

If you need a ride from school to the stadium, let us know ahead of time so we can try to make arrangements with you. The day of the shoot does not qualify as “ahead of time”
Rides home can often be provided if we have advanced notice. We’re happy to keep your folks from having to drive out late at night when we can. (They do enough for you already!)
All crew must wear BEC-Wear, especially when on the field. If you do not have any BEC-Wear we will lend you some for that night’s production; they must be returned immediately after the shoot. Also, please wear comfortable shoes and clean pants/jeans.
Later in the season some nights will get very cold, listen to the weather reports (or your parents) and bring proper clothing to school if you plan on coming straight from there.

For football season only, dinner will be provided each game night. Please ask your families to consider bringing dinner for the crew sometime during the season (see “Feed My Starving Techs” document)
We will only eat dinner before the game if we are all setup and can afford the time. If we don't eat before the game, we will arrange for a working dinner during the game. You’re also welcome to bring money for concessions if you like.Trips to the concessions stand can be arranged at the producer's discretion.
“Crew Call” is the biz term for when the crew is slated to arrive.
We will expect you to attend all of the scheduled games, unless you tell us otherwise in advance. If you cannot make it to a game that you were signed up for, call/text as soon as you know you cannot make it.
Setup begins at the stadium at 3pm for every game, unless otherwise communicated. Meet at the production truck -Behind the west bleachers (Enter parking lot at 90th and Queen)
You should plan on being with us from setup all the way through our “post mortem” meeting (ending around 11:30pm, sometimes later). If you cannot stay out that late let us know ahead of time. Please do not call for a ride immediately after the shoot because we need help with strike and we need your input at the meeting.
As with any shoot, if you must arrive late or leave early, check in with the producer when you arrive/before you leave. NEVER leave the field without checking out with the producer!
After our pre-production meeting, we'll split into teams for setup. This involves setting up the cameras, microphones, running the cables, and doing checks to make sure everything is working correctly before we get into the action.
We use online checklists to make sure we don't miss any steps, so having the Google Spreadsheets app on your phone will come in handy! (As long as at least one person on our setup team has the app, you'll be good.) Make sure you complete your whole checklist and work with your producer to do "Facs Check"-- those are the tests to make sure your equipment is functioning properly. If you don’t know how to complete a given task on the checklist, please ask questions! We never expect you to know things that are brand new to you, but we do expect you to ask questions and communicate well. If you both don’t know, ask your coordinator or staff.
After you have completed your checklist, place it in the designated spot for checklists. Then return to your coordinator for another task. If you have questions please ask. Do not leave something undone if you don’t know how to do it. If you never ask, we never know! If you have completed all of your assigned tasks and there is currently nothing to work on, inform your coordinator or staff that you are free. Also, remain within earshot of the truck for any projects that may pop up.
During the game, we will attempt to give you a different position for each half. Ideally, one position will be inside and one will be outside. We will switch at the producer’s discretion. Do not leave your post at halftime unless told to - we cover the halftime show too.
Remember that we’re still on the air for quite a while after the game with our Post Game Show. Stay at your post until you’re cleared to leave it. Please, no running around out on the field, especially after the game, as our post game involves shots of the field. After the game, you should never return to the truck empty handed. There is always something that needs to come back. Grab it and bring it with you. Even if you are done striking your equipment, please help others with theirs. The postmortem meeting will not begin until after everything is put away.
Once we’ve got things wrapped up, the entire production team gathers for a post production meeting - the “Postmortem”. During this important time we discuss where we as a team succeeded and where we came up short. This is one of the most important times of the evening as its our time to learn from that night’s production to make next week’s even better.
During post mortem, a list of things/technology needing fixing will be made for the next week. Techs who are interested in engineering, repairing, and in general wanting to be around the station more are encouraged to join us. Days and times are variable. Let us know what you want to do and we will find projects for you!
