Update to AgencyZoom Glitch reporting process
This is the “training wheels” version. New reps can literally read this until it’s natural.
“Hey [First Name], I’m glad we could connect today.
Before I dive into anything about us, I’d love to understand your agency a bit — where you’re located, what your team looks like, and what’s driving you to look at AgencyZoom and automation right now.
Then I’ll share how we work with agencies, recommend the package I think fits you best, go over pricing, and we’ll decide together if it makes sense to move forward.
Does that work for you?”
“Cool. So first, where are you based and how long has the agency been around?”
“And how long have you been the owner?”
“What’s your mix between personal and commercial right now, and which side are you trying to grow?”
“How many people do you have on the team — and how many of those are producers vs account managers?”
“Are your producers mostly in‑office handling inbound, or out in the field knocking on doors and working referral partners?”
(Brief reflection: “Got it. So you’re a [size/type] shop, mostly [PL/CL], and you’re trying to grow [X].”)
“Walk me through your tech stack real quick:
What AMS are you on now, and what did you come from?
Which rater are you using?
What phone system are you on or moving to?”
“And on the CRM side — what have you already looked at? AgencyZoom, InsuredMine, others?”
“Where are you right now with AgencyZoom — already signed, or still waiting on pricing / in demo mode?”
“What else is in the mix that I should know about — lead vendors, CanopyConnect, any AI tools or service centers?”
(Reflect back their pain: “So it sounds like you’ve been modernizing everything — AMS, rater, phones, CRM — because you’re really chasing efficiency and better data, and the missing piece is getting AgencyZoom set up the right way. Is that fair?”)
“Do you have a written procedure manual or SOPs?
Is that more ‘how to use Hawksoft/QQ/Epic’ or does it actually cover your sales process, renewals, and how your team is supposed to follow up?”
(If it’s “in process” or missing:)
“Got it. That actually matters a ton, because whatever we build in AgencyZoom is going to become your playbook, especially for sales and renewals.”
“You’ve watched videos, done demos, and you already know you want a CRM.
When you think about working with us, what are you hoping we’ll actually do for you once you move to AgencyZoom?”
[Let them talk. Then label it.]
“So it sounds like you’re not looking for more software — you’re looking for someone to build it out correctly, connect everything, and then train your team so they actually use it. Does that sound right?”
“Perfect — that’s literally our lane.
We’re an AgencyZoom consulting and implementation firm. We build your pipelines and automations, plug them into your AMS and phone system, and then train your team weekly so it sticks. Think of us as your change‑management partner, not just a one‑and‑done setup.”
“Big picture, we have four main ways we work with agencies:
Scale – 4‑month engagement. We build your workflows and run weekly live training.
Sprint – we build the workflows, but you only get the on‑demand course, no live trainer.
Custom projects – completely custom builds or integrations based on your exact SOPs.
TechOps – a year‑long partnership for agencies that want ongoing ops + integration work.
Based on what you’ve told me so far — [size, goals, pains] — my gut is that Scale will fit best, because it gives you the build and the live training together. I’ll show you what that includes, but does that sound directionally right?”
“In Scale, you get to pick from a full menu of workflows — new business pipelines for PL and CL, onboarding and retention, service workflows like claims and late pay, and a few admin workflows like recruiting and referral partners.
If we were starting together, which 2–3 would be your top priorities?”
[Help them choose their first two.]
“Great. So we’d start with [Workflow 1] and [Workflow 2]. We build those, train your team on them for a few weeks, and then move to the next workflows on your list. We move at the speed your team can actually adopt, not faster.”
“Let me show you a couple things quickly so you can see how this actually feels in AgencyZoom…”
“Here’s how we run different campaigns based on the lead source — a past client gets very different messaging than a referral or a website lead, so it doesn’t feel like a blast.”
“Here’s how we protect you on texting — we only text people who’ve opted in, so you’re not putting yourself at risk on compliance.”
“Here’s how the analytics work — but only if your team moves leads through the right stages. We train them on how to do that so your numbers are actually trustworthy.”
[Keep this short and tied to their earlier pain.]
“Let’s talk about the investment so you can see if this lines up with what you had in mind.
Our Scale package is $2,500 per month for 4 months — so a $10,000 project.
That includes the workflow builds, all the automation copy, four months of weekly live training and spot‑checks, plus access to our client community with daily support calls and our on‑demand courses. While you’re in training, the community is required at $99/month; after that you can keep it or cancel.
How does that land for you?”
[Pause and listen.]
(If they compare to others, you can add:)
“A lot of agencies we talk to are seeing quotes around $20,000 for VA‑driven setups or around $5,000 for pipeline‑only builds with little training. What we’ve found is the training and implementation is where agencies actually win or lose on this investment.”
“On timing, our next openings to start Scale are [week options].
Where does that line up with your AgencyZoom timeline and your phone system change?”
(Handle phones like Jason:)
“You don’t have to have RingCentral/Lightspeed live before we start training. The only thing that won’t fire until the phones are integrated is the text messaging. If we start in [month], you’d likely have one or two calls before the integration, which is totally fine.”
“And just so you know, payment is done as a one‑time project fee at signup. On our site, you’ll see Affirm and Klarna if you want to split it over several months — sometimes with 0% interest if you qualify.”
“If you’re feeling like this is a good fit, the next step is simple:
Go to [acceleratedautomation.net link].
Click Get Started under Scale.
Complete checkout — you’ll see the financing options there too.
Once you complete that, you’ll immediately get an invite to our client portal and your onboarding checklist, access to our Essentials course, and an invite to the client community. We’ll also lock in your training start date for [month].
If you’d like to run this by your [spouse/ops manager/partner] first, I totally get that. I’ll send you today’s call recording and the slide deck so you don’t have to re‑explain everything. Once you’ve both watched it and you hear back from AgencyZoom on pricing, just reply to my email with either ‘we’re in’ or ‘not yet.’ Sound fair?”
If you’d like, I can also create:
A one-page printed cheat sheet (literally bullet points only) and
A scorecard template so you can review rep calls against this process.
