Banner is an administrative software package for use in higher education and developed by Ellucian. Virginia Tech uses Banner to capture and maintain integrated data for finance, human resources, student, and financial aid systems.
Banner provides a method to collect and process data including, but not limited to person/demographic, financial/accounting, and academic. It stores this data in 100’s of tables holding millions of data points that can be used to understand the current environment of the university and provide useful insights for future improvements or actions.

New Organization Code
To create a new organization code, send an email to finrpt@vt.edu at any time of year with the department the organization will be in and the title of the new organization.
Change Organization Title
To change the title of an organization, send email to finrpt@vt.edu by June 1st so the change can take effect July 1st. These actions are done only at fiscal yearend.
Establish a Fund
The department or unit requesting that the fund be established should review its current fund structure and determine the need for a new fund. Once the unit determines there is a need for an expenditure fund, the fiscal contact or department head should submit a request to the Office of Budget & Financial Planning.
The request should provide the following:
fund title
the six-digit organization number responsible for the fund
the source of money that the fund will hold
brief description of the activity for which the funds will be used (e.g., academic instruction, research, etc.)
The person requesting the fund should have fiscal responsibility for the organization and fund type requested.
Create Another Fund Type
To create another type of Fund, go to the Budget Office website under “How is a new fund established” to see a comprehensive list of the offices to contact for different types of funds.
New Overhead Fund
To create a new Overhead Fund, send an email request to Alicia Houchins at houchins@vt.edu with the New Fund title, Organization code the fund will be in and the Financial Manager name and ID (90xx number)
Default Payroll Kickout Fund
To set the default Payroll Kickout Fund, send an email request to genactg@vt.edu with the overhead fund code (you must get the Research Office to create that first), and specify the organization, department, or senior management level you desire.
New Auxiliaries, Revenue or Local Fund
To create a new Fund for Auxiliaries, Revenue and Local Funds complete the New Fund form located on the Controller's Website under General Accounting.
Upon submitting your information here, the General Accounting team receives a notification and responds to the requestor.

Move an E&G or Overhead Fund
To move an E&G or Overhead Fund to a different Org, send an email by June 1st so the change can take effect July 1st. Send to finrpt@vt.edu with the fund number and the org code you want to move the fund to.
Change the Title of an E&G or Overhead Fund
To change the title on an E&G or Overhead Fund, send the request to finrpt@vt.edu by June 1st so the change can take effect July 1st.
Terminate E&G or Overhead Fund
To terminate an E&G or Overhead Fund, send a request to genactg@vt.edu at any time of year.
The fund must have no encumbrances, budget balance or cash balance.
General Accounting will by default terminate funds that have had no activity for two years, unless the department requests otherwise.
