Guest Speakers: Jessy Newman and the AIR team
This session will provide LEA teams with an opportunity for data-informed reflection and planning for your upcoming year(s) of summer programming.
LEAs (Cycles 1, 2, & 3 LEA teams) will:
Use data to reflect on your prior year of planning and implementing an ADSY summer program;
Review data to elevate meaningful findings for your LEA while deepening your data reviewing and decision-making skills and learning a new process you can bring back to your LEA
Create action plans focused on improvements for next summer; and
The work you do during this session will be vital for the completion of the Reflection & Revision tool for the current implementation year.

Cycle 4 | THE ROLE OF CLIMATE & CULTURE IN ACHIEVING OUTCOMES

Site climate is all about the quality and character of the program, the relationships it fosters, and the teaching and learning practices that shape youth and staff experiences. Positive site climates rarely develop on their own. Instead, they require deliberate effort.
In this highly interactive session, we will unpack what positive site climate looks and feels like and explore the intersections of site climate with other areas of program planning including enrichment, recruitment and attendance, staffing planning, site logistics and more. LEAs will engage in meaningful sharing and consultation with peers and partners to evolve the vision for your programs.

Overview: In our second in-person ADSY PEP Summer Learning Convening, we will bring together all four cycles for two days of dynamic peer learning and sharing with an emphasis on creating a positive climate and culture, implementing high-quality enrichment, and building broad support for ADSY Summer PEP programs. Implementation Years community members (Cycles 1-3) will also participate in a Meaning Making process to use data to drive reflection and planning for future summer implementation, as well as focused exploration of sustainability supports. Be ready to dive into engaging conversations with your team, peers, and partners, and leave with immediate inspiration and strategies for Summer 2024!
Intended Audience:
(Required) Project Managers - if your Project Manager or a designated representative will not be able to attend please notify Ryan at rberlinconsulting@gmail.com by October 19.
Steering Committee Members
(Cycles 1-3) Internal district and external community members who are involved in your program evaluation, continuous improvement and sustainability efforts.
Additional district leaders and staff that oversee site climate, curriculum planning, and stakeholder/partner engagement.
All LEAs are strongly encouraged to bring additional team members as there will be high engagement between teams, partners and other LEAs to share ideas and iterate on initial summer planning work due in November.
Please note: Based on capacity at the venue, each LEA will be able to register up to 3 attendees. If additional space is available, TLA will notify Project Managers who can then register additional team members, first come first serve, until capacity is reached.

NOTE: You may be working with data that needs a higher level of security and data management (e.g., if you are looking at personally identifiable youth and staff information). We encourage you to organize your materials in a space that meets their security needs and gives access to everyone who will need the data. This may be their folder on the community hub but not necessarily.

Required:
Review your Strategic Planning Tool (located in your LEA folders on the Community Hub), with an emphasis on vision submission components.
Prepare for the “The Role of Climate & Culture in Achieving Outcomes” Peer Exchanges on Day 1: Work with your steering committee to prepare a few talking points that you will share with peers related to your overall program vision and student population. Use prompts from the “Strategic Planning Process” and “Strategic Design and Continuous Improvement” tabs of the strategic plan to prepare your information. You can also find this pre-work guidance on the event page.
Program has a vision statement that describes its goals, the values it promotes, and its approach to teaching and learning. What is your summer program's current vision statement?
Program vision is driven by needs assessment or student and/or school-level data. Program has prioritized students for participation based on specific needs or characteristics. How has data informed the program's vision? What groups of students are you thinking of prioritizing for participation and why were they selected?
A variety of external stakeholders are involved in developing program vision, and decision-making includes forums for staff, families, and community partners to offer input to the program. How have you engaged stakeholders in decision making and providing input on program design so far (including the Steering Committee, School Board/governance leaders, teachers, campus administrators, students, families, and community members)?
Optional but strongly encouraged:
Review related sections of Getting to Work on Summer Learning, Chapter 8 (pgs 57-62).
If you did not attend or need a refresher, review recordings and materials from the September 12 workshop which cover the RAND evidence base, tips from ADSY PEP Practitioners, and visioning examples.

Recommended:
Bring your own print or electronic copies of planning tools (NOTE: we will have some outlet stations set up to charge devices but you will need to bring your own chargers)
Bring an item that represents your program’s climate & culture that you are proud of or aspire to for our climate “exhibit” (items will be returned at the end of the day if needed).
Begin to plan your “Summer Spirit” - this could include coordinated summer-themed outfits for your team, camp t-shirts from a previous year, or wearing your school spirit wear. The sky’s the limit and your creativity is welcome!
Submit questions on this Parking Lot Padlet so we can address your burning questions and needs before, during, or immediately following the event. The Padlet will be open for questions throughout the meeting.
