The role of the President is to oversee the smooth operation of the entire council and LFS|US events. The President represents the LFS student body and ensures the accountability of the LFS|US.
Duties of this role are as follows:
Ensure that the direction and goals of council are being met
Promote a cohesive and productive team environment within council
Provide support and ensure the efficiency of all executive portfolios and their respective subcommittees
Serve as the representative on behalf of the LFS student body in meetings and events across campus
Facilitate monthly council evaluations with Senior Advisor
Chair general council and executive meetings
Be responsible for the organization of the Annual General Meetings
Liaise with staff and Faculty of LFS
Organize the LFS Appreciation and & Celebration Dinner that honours LFS's student leaders
The role of the Senator is to represent the LFS student voice, act as a voting member on UBC’s highest academic body, and advocate on new policies.
Duties of this role are as follows:
Attend Senate, Student Senate Caucus, and Senate committee meetings; individual should be active in the discussions and critically engage with decisions being made for students
Connect the conversations and policy changes of Senate to LFS by communicating key points to LFS|US
Non-required duties that the acting Senator is committed to:
Organize with other Student Senators in incorporating previously passed frameworks into Senate
Take lead on embedding mental health and wellbeing into structure of the university decision-making process for academic-related policies
Collaborate with LFS|US VP Academic on evaluating the academic experience of LFS students
Attend LFS Curriculum meetings and work with APBI/FNH/FRE/GRS Reps on course changes being presented
Support other members with drafting proposals, engaging with university stakeholders and faculty
Attend and contribute to weekly LFS|US council meetings and executive meetings
The role of the Senior Advisor is to provide guidance for the executives and council as a whole. The Senior Advisor is appointed by the elected President.
Duties of this role are as follows:
Provide advice and support to various areas of council
Facilitate the FYC Mentorship Program, which consists of an internship workshop for the FYC to shadow any roles within council
Provide external viewpoints on ideas, utilizing past experience/knowledge on LFS|US events and initiatives
Facilitate Monthly Council Evaluations with the President
Work closely with the President in ensuring the direction and goals of council are being met
Ensure council events and programs are in-line with UBC sustainability goals
Attend and contribute to general council, executive meetings, and other necessary meetings
The role of the Vice-President Academic is to enhance the academic experience of LFS
undergraduate students through career-related events and by advocating students’ concerns to
LFS Faculty members. The Vice-President Academic also focuses on promoting the health and
wellbeing of students by providing resources and events, particularly surrounding mental health.
Duties of the role are as follows:
Hire and oversee work of Health and Wellness Coordinators (4); oversee work of FNH Rep (1), APBI Rep (1), GRS Rep (1), and FRE Rep (1)
Promote health and wellbeing through advocacy and presenting concerns to higher governing bodies
Create and facilitate academic and career related events for undergraduate students
Participate in AMS VP Academic Caucus and Dean Action Plan Meetings
Serve as the LC Advisory Rep
Be the student voice and advocate for student needs throughout their undergraduate degrees to the Faculty by listening to student feedback
Attend and contribute to weekly LFS|US council meetings and executive meetings
The role of the Vice-President Administration is to maintain organization and clear communication within LFS|US.
Duties of this role are as follows:
Hire and oversee the work of Lounge and Apparel Coordinator (1) and Governance Coordinator (1)
Record accurate and share meeting minutes with LFS|US and the student body through the LFS|US website
Organize and create documents for council (e.g., to-do lists, take-aways, topics for e-updates and LFS blog, etc.)
Schedule and book meetings with execs, council, and other LFS staff (e.g., Student Services, Dean’s office)
Schedule and coordinate LFS|US Executive office hours in Room 64, MCML basement
Regulate MCML locker rentals
Coordinate with the LFS Learning Centre for creating and accessing LFS|US Council email accounts
Facilitate MCML building key requests for LFS|US Councillors with the LFS Key Desk
Ensure the LFS|US Codes of Procedures, Constitution, and Bylaws are up to date
Attend general council and executive meetings
The role of the Vice-President Communications is to manage LFS|US social channels and promote the Faculty and Undergraduate Society.
Duties of the role are as follows:
Hire and oversee work of the Associate VP Communications (1), Marketing Chair (1), Social Media Coordinators (3), Graphic Designers (4), Photographer/Videographer (2), and Webmaster (1)
Manage and update LFS|US social channels and LFS|US communication boards in the MCML basement
Create and facilitate marketing campaigns that promote our Faculty and Undergraduate Society
Reach out to marketing platforms and organizations that support the LFS branding and presence at UBC
Promptly respond to messages on LFS|US social channels on behave of the council and/or relay messages to an appropriate executive member
Be an active member of the Land and Food System Undergraduate Society’s (LFS|US) executive team; support other portfolios in their events and initiatives
Attend and contribute to weekly LFS|US council meetings and executive meetings
The role of the Vice-President Engagement is to be a liaison between the LFS|US and the Faculty for providing student engagement opportunities to, as well as promoting a sense of belonging among members of the Undergraduate Society. This is a new position as of 2021, with some duties extracted from other Executive roles from 2020.
Duties of this role are as follows:
Hire and oversee work of the AVP Engagement (1), Equity, Diversity & Inclusion Co-chair (2), Equity, Diversity & Inclusion Coordinators (2), Sustainability Committee Co-chair (2), Sustainability Coordinators (2), Wednesday Night Dinner Manager (2), and Wednesday Night Dinner Shift Leaders (4)
Oversee the development and operation of the LFS|US Equity, Diversity & Inclusion and Sustainability Subcommittees
Foster a stronger connection with the LFS student body, and ensure that they feel a sense of belonging with LFS|US
Work closely with the LFS Student Engagement Officer in ensuring LFS undergraduate students are supported in engaging and getting involved within the Faculty
Liaise with the LFS ROOTSS Coordinator
Liaise with the LFS Community Relations Coordinator, and support them in providing all LFS undergraduate students with community engagement opportunities
Act as the liaison with Agora Eats Café
Attend and contribute to weekly LFS|US council meetings and executive meetings
The role of the Vice-President External is to strengthen all external functions and initiatives within council.
Duties of this role are as follows:
Hire and oversee the work of the AVP External (1), Case Competition Coordinators (4), Partnerships and Student Benefits Coordinators (4) to ensure all members of the team achieve their goals
Manage and maintain external relationships connected to LFS|US, including other undergraduate societies, LFS faculty members, external businesses, and other club coordinators on campus
Promote the LFS|US to other UBC students and external organizations
Obtain sponsorship for LFS|US events to support the execution of initiatives and events, such as the Feeding 9 Billion Challenge and other case competitions
Volunteer at events hosted by LFS|US: LFS Week, Career Month, Wednesday Night Dinners, etc.
Attend and contribute to weekly LFS|US council meetings and executive meetings
The role of the Vice-President Finance is to ensure the finances and budgeting of LFS|US are organized and accounted for.
Duties of this role are as follows:
Hire and oversee the work of the AVP Finance (1) and Financial Coordinator (1)
Oversee the official LFS|US budget and funding programs
Manage financial transactions and corresponding records within LFS|US (e.g., invoices, receipts, reimbursements)
Maintain accountability of finances for the Undergraduate Society
Create and present a preliminary budget for the Executive Council and Undergraduate Society
Attend and contribute to weekly LFS|US council meetings and executive meetings
The role of the Vice-President Internal is to oversee the several committees and providing guidance on logistics, communication, and team-related issues to foster a community within the Undergraduate Society.
Duties of this role are as follows:
Appoint and manage the members of the Internal Portfolio, including the AVP Internal (1), Graduation Coordinators (2)
Assist the election and management of the representative member(s) of the Internal Portfolio, including the First-Year Representatives (2)
Assist the First-Year Representatives in ensuring they hire the First-Year Committee (8)
Perform event debriefs with councillors
Provide advice and support to councillors on logistics, communication, and team-related issues, and ensure council events and programs are in-line with UBC sustainability goals
Gain and provide feedback for the Executive Council to ensure that the council is operating effectively and efficiently
Facilitate professional development and/or social programs to nurture team dynamics within the general council
Attend and contribute to weekly LFS|US council meetings and executive meetings
The role of the Vice-President Student Life (VPSL) is to create events for LFS students to engage them with their peers, the faculty, and the rest of campus. A goal for the VPSL is to cultivate lasting relationships and continue to build a welcoming community.
Duties of this role are as follows:
Hire and oversee the work of the Associate Vice-Presidents (2)
Hire and oversee the work of the LFS Week Coordinators (2) and the Social Coordinators (2)
Hire and oversee the work of the LFS Gala Coordinators (2)
Plan and organize social LFS|US events (LFS Week, holiday events, game nights, LFS Gala, and more)
Collaborate with other faculties and clubs for events
Increase student engagement with the faculty, including the Imagine Day lunch in collaboration with LFS Student Services
Attend and contribute to weekly LFS|US council meetings and executive meetings
The role of the AMS Rep is to be a liaison between LFS|US and AMS and advocate in favour of the interests of LFS students in Council and Committee meetings.
Duties of this role are as follows:
Be an effective liaison between LFS|US and the AMS by consistently attending LFS|US Executive Council meetings, LFS|US Council meetings, AMS Council meetings, and relevant AMS Committee meetings.
Communicate the information discussed in meetings in a timely manner between LFS|US and AMS
Improve interfaculty relations by connecting and working with other faculty reps through interfaculty event planning or advocating for students
Consult with LFS students for ideas and suggestions and act on it through LFS|US and AMS
Ensure that the best interest of LFS students is met through AMS discussions
Keep LFS informed about AMS and campus-wide issues and initiatives
Prepare AMS updates that can be published and shared to the LFS student body
