The Global Distribution Management System, or GDMS, is a map-centric software application that tracks commercial trucking and private security firms in deployed environments.
Once we log onto the GDMS system, we will see more than one option we can use. We will be using only search and schedule options.
Search:
Under search, we have many options to use:
Delivery date finder: we use this option to check on the available delivery dates.
POS Invoice search: we use this option to check on the invoice details, especially when we do not have a schedule set for the order as the information registered by the customer or store employee
Invoice search: using this tab we can check on the current invoice details.
Delivery order search: we can check on the status of the order and get the driver details.
Work Order Search: we can check on the tasks assigned to the drivers. Example: x driver has a task to visit a customer to replace a product.
Delivery Date finder:
To check on the available dates to schedule a delivery we have to fill in below fields:
Nature of delivery: always normal delivery
Group area
Store type: E-Commerce, Brick and mortar (offline store)
Delivery type
Slot: Morning /Afternoon
Start and End date
The results will be as below, green means that this date is still available and we can schedule a delivery, while red is the closed date.
You can see the available count, available value, available volume, available fixing time and slots by clicking on the green tab.
POS Invoice search:
Here we’ll find the orders that do not have a scheduled date yet and we can check on the invoice details. We need to check and schedule a delivery date with the customer. Also, we can check billing as well from this tab.
In this window, we only need to search using the order number. And we can search based on invoice level and item level.
On invoice level:
We can see below:
Time Slot chosen
Delivery type: WWD, SR delivery, BS delivery, ...ETC.
Original invoice number: will be filled in case we have canceled order
Return flag: CAN (Canceled) , RET (Return)
Invoice date
Invoice type: 1 (Purchase), 2 (Return/cancel)

Schedule NO
Delivery Date: the date that the customer choose
Schedule Date: the actual delivery date for the order
Nature of delivery: normal, express
On item level:
We can see the same information on the invoice level, but we have extra information we can get:
Item Code
Item description
Quantity per item: actual (on purchase), invoice item quantity (actual)
Invoice Search:
Using this tab, we can check the overall status of the invoice, and also it can be done based on invoice and item levels. We need to fill below to search in general and by invoice number for a specific order
Delivery type: warehouse
Store type: E-commerce, Brick and mortar
Delivery date
Invoice number
Then, we will be able to check on:
Store Code: E-Commerce (88888), brick & mortar.
Schedule number
Delivery type: Del (Normal delivery), DTBC, SRD, Etc. Actual delivery type
Initial delivery type: selected on POS

Closed: Delivered
Posted: reschedule or cancel (did not leave the WH yet)
Delivery order: Shipped to the customer
Value : the original value of the invoice (we do not provide the customer with)
Fixing time: the time needed for assembly
Volume
DO Number: if empty, no delivery attempt happened
Last DO number: if not the same as the DO number, that means multiple delivery attempts have been made.
The same can be done on the item level.
Delivery Order search:
As we have mentioned before we use this tab to check on the status of the order and get the driver details. Before and after the delivery.
Just choose the delivery date and if you want to check on the invoice or item level. We can search using:

Mobile number does not work
Below are the results appear
DO NO: we will have more than one invoice under the same DO number (many orders assigned to the same driver).
Schedule status: is related to the invoice/order itself not to the DO.
Closed: delivered successfully without complaints
Postponed: if we have an urgent issue and the driver cannot make it
Remove schedule: this order has been assigned to another driver, if you search using the invoice number you will find it under a different t DO number and driver. In the same day
Open: delivered with a pending issue (ex: missing part, wrong item received...)
DO Status: the status of all orders the driver has
Do Value: the value of all orders
DO type: Del, SRCC (Showroom customer collection), WHCC (warehouse customer collection), ETC.
Deliver nature: always Normal, might be expressed sometimes.
Schedules:
Once we check on the order status, we need to schedule for a new delivery, cancel or modify the existing delivery schedule.
As we know that we are having 2 available slots for delivery ( 9 am-3 pm & 3 pm-9pm ).
If a customer who’s fixing time is above 100 minutes or he/she is having delivery for a full bedroom , kindly avoid giving them the 2nd slot which is between 3 pm to 9pm as we won’t be able to fulfill the request. We are avoiding to give the high fixing invoices the 2nd slot at the stores also.
Modify schedule:
From schedules, we choose to modify the schedule and search using the order number. We always choose normal delivery from the assembly type as below.
We have many reasons to modify the schedule as below:
Modify delivery date: to change the date of delivery. Choose the new date and slot,then validate and submit
Modify Cargo: when the customer wants to collect the order the assembly will bedone by the customer as well. (we do not use this option)
Modify delivery to DTBC: when the customer asks to put the order on hold and not deliver it on the agreed schedule. (we do not use this option)
Modify DTBC to delivery: to move the order from hold to delivery. We need to fill the delivery date and slot.
Modify Area
Online /B&M: we can change the area and address from our end with no complications.
If the customer asked to change the subzone and date, we have to change the area first, and then change the date of delivery.
Modify slot: we can change the delivery time if the slot is available.
