When we’re unable to reach an applicant, we pend a task on their application to make sure we follow up on their application. The process currently does up to six (6) attempts to reach out and schedule for an interview. Application remains on Viewed status as long as the attempts for the applicant are ongoing.
Tasks on Quickbase:
Tasks can be found on the Workflow section of the application.
2. Click on Add Tasks
3. Specify the task for the applicant on Task Category. You may leave relevant notes on the Comments section. Due Date is when the task needs to be accomplished. Assigned to is specific to the recruiter that needs to accomplish the task.
Note: If you are backing up other nursing homes, tasks will be assigned to the Primary Recruiter.
4. Click Save & close
When do we do attempts?
The goal of the attempt process is to make sure we follow up on active applicants on the system. Mainly, if we’re unable to speak to applicants and their application is active, we still try to reach out to schedule them. Here are a few scenarios wherein we set the task to attempts 2-6:
Routed to voicemail
Voicemail not set up yet
Not in Service
Requested call back
When there is pending confirmation needed from the facility
When the applicant does not respond throughout the five (5) attempts or did not respond to the Interview No Show Text, Attempt 6 will have a different script and template.
Voicemail
“Hi, This is (Name) calling from (Facility name). In behalf of our HR Manager, (HR Manager’s name). Calling one last time if you’re still interested in the (position applied) you applied for. Please call me back on my direct number (your direct number) to set up an interview appointment. Thank you.
Applicant Answers
Do the usual process, verify if the applicant is still interested. If so, schedule the applicant for an interview.
Hi (Applicant’s first name),
This is (your name) from (Facility Name). I wanted to try one last time if you're still interested in applying for the open (Position applied) position, please call me at (Direct number) to set up an interview.
