As part of this commitment, we have established a comprehensive Personal Protective Equipment (PPE) policy. This policy outlines the provision, use, and maintenance of PPE to ensure that our employees are adequately protected during their work activities. By adhering to this policy, we aim to foster a culture of safety and responsibility within our organisation.
Provision of PPE:
All employees and individuals working for Highway Data Systems Limited will be provided with appropriate PPE tailored to their specific job roles and activities.
New staff will receive PPE during their induction process, while existing staff can request PPE by completing and submitting the PPE Request Form.
Comprehensive training on the safe use, storage, and maintenance of PPE will be provided to all employees.
Risk Assessment Reference:
Thorough risk assessments will be conducted to determine the specific PPE requirements for different tasks.
Compliance and Responsibilities:
Employees are legally obligated to wear PPE in accordance with site/workplace regulations, risk assessments, method statements, safe work systems, and safety signage.
Any defects or malfunctions in PPE must be promptly reported to the supervisor/manager, who will arrange for timely replacements.
All PPE provided must comply with EU directives and bear the CE marking, ensuring its suitability and safety.
Adequate storage facilities will be provided to employees for keeping their PPE when not in use.

Supervisory Oversight and Training:

Regular inspections and maintenance of PPE will be conducted to ensure it remains effective and in good condition.
Additional Considerations:
Replacement Procedure: Damaged or malfunctioning PPE should be reported to supervisors/managers for prompt replacement.
Monitoring and Review: Regular monitoring and review of the effectiveness of the PPE policy will be conducted to implement improvements as needed.
Documentation and Records: Comprehensive records of PPE issuance, training, inspections, and maintenance will be maintained with assigned responsibility.
Communication: Clear communication regarding PPE requirements, procedural changes, or policy updates will be disseminated to all employees.
PPE should only be utilised for low-risk activities or as a supplementary measure in case primary control measures fail. It should be considered as a last resort after exploring all other available options as per the hierarchy of control measures.
This policy will be reviewed annually or sooner if necessary.
