Attendance & Late Coming Policy

Effective Date: 1st September 2025

1. Objective

This policy aims to maintain punctuality, discipline, and consistency in office attendance. Regular and timely presence at the workplace ensures smooth business operations, improved collaboration, and fair contribution by all employees.

2. Scope

This policy applies to all employees of BloomchemAG across all departments and office locations.

3. Office Timings

·   Official Reporting Time: 09:00 AM Official Closing Time: 08:00 PM

·   Employees are expected to be present and logged in (through biometric/attendance software) at or before the official reporting time and remain at work until the official closing time, unless otherwise approved.

Short Leave Policy

·   Employees are permitted to avail 2 short leaves per month.

·   A short leave means leaving the office up to 2 hour before the official closing time (i.e., after 5:00 PM).

·   Short leave cannot be combined with Late Coming or Half Day on the same day.

o   If an employee avails both (Short Leave + Late Coming/Half Day) on the same day, it will be treated as a Half Day.

o   If an employee takes a Short Leave on a day already marked as Half Day, it will be considered as a Full Day Absent.

System Compliance

·   All attendance, late coming, short leave, and half-day requests must be regularized in Keka HR Software without fail.

·   Records maintained in Keka will be treated as final and binding for payroll and compliance purposes.

4. Late Mark Rules

·   10:00 AM – 12:00 PM: Attendance will be marked as Late.

·   12:00 PM – 2:00 PM: Attendance will be marked as Half Day.

·   After 2:00 PM: Attendance will be considered as Full Day Absent.

5. Late Arrival & Deduction Framework

·   First 3 Lates in a Month: Will be permitted without deduction (but recorded).

·   On 4th Late: 1/2 Half Day Salary Deduction will apply.

·   On completion of 6th Late (cumulative): 1 Day Salary Deduction will apply.

·   The cycle will continue in the same pattern for subsequent lates within the same month.

6. Compliance & Exceptions

·   Employees are required to adhere strictly to the above timings.

·   Exceptions (medical emergencies, official travel, client meetings, etc.) will be considered only with prior approval from the Reporting Manager in written.

·   Frequent late arrivals may lead to disciplinary action, including impact on performance reviews.

7. Responsibility

·   Employees are responsible for monitoring their attendance through the company’s attendance system on Keka HR.

·   Managers/HR will ensure policy compliance and address exceptions on a case-to-case basis.

8. Review of Policy

This policy will be reviewed periodically by the HR Department to ensure effectiveness and fairness. Updates, if any, will be communicated to all employees in advance.

Important Points to Note

1.     Attendance on Keka & Register
While marking attendance in Keka is mandatory.

o   If any employee forgets to mark attendance in both Keka and Register, then that day will be considered as Absent.

2.     Leave Policy
Currently, the leave policy is Quarterly-based.

o   Each employee is entitled to 3 leaves per quarter.

o   Leaves are earned monthly (1 per month) and can be carried forward within the same quarter only (up to 3 months).

o   Leaves cannot be availed in advance at the beginning of a quarter.

o   If a monthly leave is not used, it will automatically carry forward to the next month within the same quarter only.

o   Unutilized leaves at the end of the quarter will lapse.

Quarter cycle:

o   Q1 = January, February, March

o   Q2 = April, May, June

o   Q3 = July, August, September

o   Q4 = October, November, December
