The onboarding procedure
This new procedure has replaced previous methods across all of F&O and will assist with making onboarding in F&O consistent, simple and timely.
How it works
Once a new hire has accepted their offer, the HR department will send a welcome email to the new employee. The email will contain essential information for the employee leading up to and including their first few weeks of work. It will also include a copy of the new Onboarding Checklist and a list of key contacts.
To trigger next steps, the HR representative will send a copy of this email to:
The new hire's direct supervisor
Payroll for the area
Administration for the area
In addition, a second email will be sent to the same groups to indicate it is time to prepare for the new hire’s arrival.
It will then be the direct supervisor's responsibility to complete the Onboarding Checklist.

Why are we using this new onboarding procedure?
This process has been created to help assist supervisors and managers as well as new employees. The goal of this process is to set up everyone in F&O for success in the same way. Other goals for this procedure include:
Ensuring consistency across F&O when onboarding new employees
Reducing time spent needed to situate a new employee with their work by streamlining onboarding tasks
Ensuring all items required for a new employee are completed by the various groups involved in hiring (HR representatives, supervisors and administrative support)
Improving retention of new hires
Please be aware that all units within F&O will be using this new process.
What is different about the procedure?
Automation! Together, the HR department and the Planning, Analytics and Infrastructure team set out to solve issues around consistency and complexity of the onboarding process. The solution was a create a checklist, but not your ordinary one.
This new automated checklist flags the appropriate parties by email, streamlining the onboarding process. Reminders are also sent out to ensure timeliness.
