Procedure for enabling students to take problems or concerns to staff

If something is worrying you, you do not have to deal with it alone. You can speak to any member of staff, and they will listen, support you, and make sure your concern reaches the right person if further help is needed.

Procedure

1. Speak to Any Member of Staff

   • A boarding pupil may approach any member of staff at any time if they have a concern, no matter how small or significant.

   • This includes boarding staff, teachers, tutors, nurses, counsellors, coaches, catering staff, maintenance staff, or administrative staff.

2. Staff Response

   • The member of staff should:

     • Listen carefully and respectfully.

     • Thank the pupil for speaking up.

     • Reassure the pupil that they have done the right thing.

     • Explain that concerns will be treated sensitively, although confidentiality cannot be guaranteed if there is a safeguarding risk.

3. Taking Appropriate Action

3. • • Resolve the issue immediately if it is within their responsibility and can be dealt with safely.

     • Refer the concern promptly to the appropriate person (such as the Houseparent, Designated Safeguarding Lead, Deputy DSL, School Nurse, or another senior member of staff) if further action is required.

     • Follow the school's safeguarding and reporting procedures where appropriate.

4. Follow-Up

   • Where possible, the pupil should be informed that their concern has been passed on and that appropriate action is being taken.

   • The pupil should be encouraged to return to any trusted member of staff if they have further concerns or feel the issue has not been resolved.
