External / Visitor printing is not available at this time - External members can use their phones to 'scan' up to one chapter from each book.
Before any printer functions can be used the student’s account will need to be loaded with credit.
Sussex Mobile - the University app has a ‘£Credit’ section to add credit. This is the quickest & simplest option.
Sussex Direct – in the ‘Personal’ dropdown option under ‘Printing account’.
Each Sussex student has a printing account with a unique PIN number which is needed for all printing services.
Locate PIN by logging onto the Sussex Cloudprint app with Sussex email (first part only) and password.
Reveal PIN by selecting [show] in the CARD/ID tile
NB: PIN Can be accessed by us on cloudprint admin if the user is struggling
Printing will need to be done via Sussex cloudprint (this is available on the App) https://cloudprint.sussex.ac.uk/user
Log in using Sussex email (first part only) and password
Select Web Print > 'Submit Job'
Select the type of print job:
Web Print Double Sided Colour
Web Print Single Sided Colour
Web Print Double Sided B&W
Web Print Single Sided B&W
Continue following options including selecting copies and then uploading documents.
Click 'Upload & Complete'
NB: If it says held in a queue followed by a number on the next screen then there will be a delay with cloudprint
NB: You can only print in A4 from cloudprint
Users will need to log in using their Sussex credentials.
Find and open document
File > Print
Use the default printer UoS_secure_print
Check all print settings including colour, size, double or single sided etc.
Users must use the 'printer properties' link to change colour options.
NB: Users will still need to have credit on their print accounts and know their printing PIN to access the printers.
Log in to your Papercut Admin using this link: https://cloudprint.sussex.ac.uk/admin (use your university username and password).
User Balance:
Click 'Users' on the left and search for their account using their username.
Check their balance next to 'Account Details'
If this reads as £0 advise them to add credit using the App or on Sussex Direct
Printer ID Number:
Click 'Users' on the left and search for their account using their username.
Scroll down to find 'Other Details'
Their printing ID is located in the 'Secondary' box under Card/Identity Numbers.
Log in to your Papercut Admin using this link: https://cloudprint.sussex.ac.uk/admin (use your university username and password).
Adding a Refund:
Click 'Users' on the left and search for their account using their username.
Check the 'Job Log' tab to check the cost for each job in order to refund
Under 'Account Details' click 'Adjust' (next to balance box)
Add the amount to refund in the 'Adjustment to Apply' box
Add a brief reason for the refund in the 'comment' box
Click Apply

Should a printer run out of paper please let the UX team know so it can be restocked.
Once a job has been sent through to the printer it can be collected from any of the 11 library printers, or any other printer on campus.
Use PIN to log into the printer
Select 'Print All' OR
Select 'Print Release' to select individual jobs
Jobs can be deleted from this screen
NB: Users are only charged once the job has been printed
User's can copy any items for a charge (same as print charges)
Use PIN to log into the printer
Select 'Device Functions'
Check settings including colour, size, double or single sided, booklet, staple / holepunch, zoom etc.
Set number of copies
Place item(s) in the printer:
Top document feeder (good for multiple / double-sided sheets)
On the glass – single pages / book / item copying
Press the green button to copy
Scanning is free. Scanned items are sent as PDFs directly to the user's email
Use PIN to log into the printer
Select 'Scan':
'Scan to email' for single pages / book / ID card scanning - the glass should be used for this
'Double sided scan to email' for double-sided documents only using the top feed.
Check settings including colour, orientation and quality.
Tick the box 'Prompt for more pages' to scan multiple-page documents into a single PDF.
Place item(s) in the relevant section of the MFD
Press next to add pages
Press send to complete scan.
Users often need to photocopy ID cards / Passports for Visa applications etc with multiple sides shown on one piece of paper.
Use PIN to log into the printer
Select 'Device Functions'
Select Paper 'Tray 1 A4' & check settings including colour etc
Place the first part of the item face down on the glass towards the top left
Press the green button to print
Reload the printed paper to Tray 1 with the image face up and at the top of the page
Place the second part of the item face down on the glass towards the bottom left
Press the green button to print
We have two dedicated Visitor Access PCs on the ground floor which provide some limited access to online resources for external members.
If a User asks to use the Visitor Access PCs:
Ask for Membership Card (or membership number and ID)
Ask them to fill in a 'Visitor Access PC Declaration form' stored at the LSD (place completed form in the report tray).
Complete the Staff 'Visitor Access PC Log' stored at the LSD – you will need their membership number, the date and which PC you are going to log them on to.
Walk the User to the Visitor PCs and log them on

NB Ask the User to let someone on the LSD know when they have finished so the time can be recorded etc.

All University Members and external members with borrowing rights have a Library Account accessible through the library website: https://www.sussex.ac.uk/library/account/
External users will need to either use their personal email address OR their User number (primary identifier) and password to access their accounts.
If their account does not work, or does not exist then this can be created / edited on Alma.
Find the Fulfilment > Manage Patron Services page on Alma
Scan the user’s card or enter their user ID
Select their User number from the right hand side of the screen
Navigate to 'Contact Information' and make sure their email is up-to-date
Navigate to 'General Information' and reset the password as '[Surnamelibrary]'
Ask the user to try to access their library account again.
Binding material is currently available at the LSD free of charge
Measure the size of the paper needing binding using the wooden gauge (stored in the drawer).
Select the correct size comb, a laminated front cover and cardboard back cover and hand to the user.
The Binding machines (with instructions) are by the MFDs by the main staircase
NB: Binding material is not being replaced. Once it is finished, the binding service will be removed.
Comb and thermal binding can be done at the Print Unit on campus.
External members are only able to print in the library via email in very exceptional circumstances.
Ask the User to send their documents via email to library@sussex.ac.uk (Supervisors and Weekend ALOs should have access to this email address - if needed please contact Supervisors, Librarian or Senior Manager in the User Experience Team).
Send the document to print via webprint / UoS Server printers and make a note of the cost.
Find the User on Alma and add the cost to their account:
Find the Fulfilment > Manage Patron Services page on Alma
Scan the user’s card or enter their user ID
Click underneath 'Active Balance' on the Right hand side
Select +Add Fine or Fee
Select 'Photocopy Service' as the Fee type
Add the amount and press 'Add and Close'
The User will now be able to pay this fee online via their library account.
Users can reset the password automatically themselves by visiting Sussex Direct.
We can now help them with this by resetting their passwords for them.
Log in to your Atlas using your sussex username and password (ano123)
Search:
Click 'Users' on the left and search for their account using their username. (You need to be on a wired connection or have the Staff VPN active (Global Protect).
Search for the user using the 'Username' box and click Go.
Verify their identity using some ID (Library card / Bank Card / Driving License etc)
Make sure the ITS Status is 'Active' (direct the user to ITS if not)
Click 'Change ITS Password' and then 'Commit Change'
Take a note of the password for the user (paper or ask them to take a photo)
NB: Users MUST wait at least 15 minutes for their new password to update. Attempting to log in beforehand may lock their accounts.
If a user cancels a print job in progress it will, in effect, shutdown the entire printer and no jobs will come through. Users can still sign in and select their work for print, this will be added to a queue and disappear from their cloud print account. Users may decide to resend their job through cloudprint and access a different printer. They may still be charged if the original printer is resumed and all jobs get printed.
Follow the instructions below to remove paused items in the print queue, and potentially any additional items in the queue to prevent the user being charged. If a user is with you and you can work out the files they want to print you can cancel all of the ones ahead of it in the queue and then select 'Resume all print jobs.'

Option 1: Resume All Print Jobs
If the user is present and requires the document select resume all print jobs. This is particularly important if the 'Accept Time' is very recent.
Option 2: Cancel
Select print jobs one by one and press the cancel button. This is particularly important if the 'Accept Time' is older than 30 minutes - users will potentially have reprinted and been charged.
If there is a paper jam on one of the printers attempt to remove the jam by following the on-screen instructions.
If the jam is more complex, or isn't easily rectified then place an 'Out of Order' sign on the printer and report to ITS.

There are four chromebook locker banks in the Library. Users require their Library card to access the chromebooks.
A chromebook is borrowable for up to 24 hours at a time
If it is not returned on time the user will be fined £3 per 24 hours the chromebook remains unreturned.
Staff can access the lockers to retreive / replace chromebooks to support users
If the chromebook lockers are unresponsive or disconnected from the server, they need to be shutdown and restarted.
GF and 1F Chromebook lockers can be switched off directly at the wall and restarted.
Once rebooted the 'Laptop Server' icon needs to be opened.
The script will automatically run and then load the correct screen.
2F chromebook locker cannot be turned off fully at the wall. This will need to be reset on the PC itself by unlocking the cabinet below the screen. Keys can be found in the key safe in the collections office.
If a Library user needs to return a chromebook whilst the machines are unresponsive they need to be returned manually at the LSD.
Find the Fulfilment > Returns page on Alma
Scan the barcode on the reverse of the chromebook (make sure it is the Library barcode and not the ITS barcode)
Place the chromebook in the bottom left cupboard at the LSD.
NB: Chromebooks in the cupboard should be returned to the correct locker when they become responsive again.
Collect the Access card (ITS Barcode) from the drawers at the LSD.
Click return on the chromebook lockers and scan the access card
Type in the 4-digit code 8022
Select the locker to open by choosing the cabinet (A=1) and bay number (any locker without a light will be empty).
Select unlock
If the lockers go down we can return chromebooks as described above.
Return chromebooks on Alma as above
Collect the Access card (ITS Barcode) from the drawers at the LSD.
Click return on the chromebook lockers and scan the access card
Type in the 4-digit code 8022
Select the locker to open by choosing the cabinet (A=1) and bay number (any locker without a light will be empty).
Select unlock, plug the chromebook in and close the door.
Repeat until all chromebooks have been returned.

The chromebook lockers only work with Library cards. Temporary pass machines and phone barcodes will not work.
If a user doesn't have their card they can still access a chromebook but we will have to take it out for them and manually scan it out on Alma.
Access the locker using the access card:
Collect the Access card (ITS Barcode) from the drawers at the LSD.
Click borrow on the chromebook lockers and scan the access card
Type in the 4-digit code 8022
Select the locker to open by choosing the cabinet (A=1) and bay number.
Select unlock, unplug the chromebook and take to the desk to manually scan into Alma.
NB: Users will be able to return the chromebooks themselves if they return with their library ID card.
Once the user has taken out the chromebook we can find it on their alma record and change the due date.

Find the Chromebook in the list of loans
Select the '...' more options and click 'Change due date' from the drop down menu
Manually update the due date time
You can extend a chromebook for up to two weeks. Make sure you add a pop up note explaining the 'bespoke loan' and include the item name and barcode.
Access the locker using the access card (collections key safe)
Collect the Access card (ITS Barcode) from the drawers at the LSD.
Click return on the chromebook lockers and scan the access card
Type in the 4-digit code 8022
Select the locker to open by choosing the cabinet (A=1) and bay number.
Select unlock, plug the chromebook in and close the door.
Users can only borrow one chromebook at a time using the lockers.
In specific circumstances, such as for a research project or pre-arranged events, users can take away multiple chromebooks. These will need to be removed from the lockers using the Acces card (ITS Barcode) from the LSD drawer and scanned manually on Alma.
NB: Users will be able to return the chromebooks to lockers themselves, but they must place the correct chromebook into the correct locker. Often it is easier for them to return all chromebooks to the desk for us to do manually.
2nd floor rooms accessed only by appointment.
These two rooms on the 2nd floor are for use by staff and researchers who need to access sensitive or copyrighted data.
Researchers need to have been in contact with Helen Webb, including having an induction, before they are able to book and use the rooms.
Bookings are made on the private LibCal booking platform and users are asked to report to the LSD.
If you have a user with a Secure Data Room booking come to the LSD please follow these steps:
Ask for their named contact (this will be either Duncan Tues-Thurs, Simon Mon & Fri and Erin & Roz at weekends).
Message on teams and ask them to come to escort the user to the rooms
Users are not permitted to take equipment or belongings into the Secure Data Rooms and should leave these in the lockers by the chromebook cabinet outside Meeting Room 1 (keys for which are locked in the key cabinet in the collections office).
The user must use their own SALTO card to access the room. If there is more than one user looking at the same data they should both tap their SALTO cards to provide an accurate audit trail.
Evening Supervisors must check the rooms are empty at 6.30pm (weekdays) and 4pm (weekends) on days with a booking.
