Registration 2025 Updates - Please Read
The Entry / Exit gates are open between 9am and 7pm every weekday. They will generally be opened by the Buildings team on weekday mornings and closed again during the evening shift.
Closing the gates before 7pm is acceptable at the discretion of the evening Supervisor.
Gates must be closed whenever non-library staff are sat on service points.
During evenings and over weekends gates may need to be kept opened by staff on occasion.
Exit gates should only be opened to allow users to exit if they have lost or damaged their temporary pass.
Entry gates should only be opened to allow users to enter in exceptional circumstances.
Do not let users in through the staff door unless on a guided tour - this is so we can accurately count capacity within the building using the cameras over the gates.
If the temporary pass machine fails users can still access the building using the Sussex mobile app.
To open the gates to allow single user entry/exit press the button that corresponds to the correct gate. These buttons are a mirror of the gates
To open/close the gates aim the remote at the gates and push the button(s) until they open/close.
This may only affect the wider gates
To open/close the narrow gates or any gates not affected by the remote use the switches underneath the CCTV monitor - labelled Exit/Entry Wide/Narrow.
Occasionally, one of the lasers inside the barcode reader will become overly bright and/or start flickering. When this occurs, no barcodes will be read, and the gate will not respond.
This problem can be solved by turning the laser switch on and off again – the gates are marked on each plug. Barcodes will respond as soon as the switch is turned back on, and the laser should return to operating as normal.
These plugs can be found underneath the right-hand monitor on the reception desk.
At the beginning of each day the Tag Pad Machine will need to be changed to 'Library' Mode.
Scan the Lynsgoe Card (in LSD drawer) to bring up Library Screen. (If this doesn't work type the word 'exit' on the keyboard and hit enter).
Double tap the GoodStuff2 icon to bring up the tag pad software.
Double tap the Dashboard icon to start monitoring the alarms and machines.
At the end of each day the Tag Pad Machine will need to be changed to 'Self-Service' Mode.
Close the Dahsboard and GoodStuff2 applications.
Right click on the GoodStuff icon in the taskbar and select exit.
Double click the LibRid3 icon to start the Self-Service function.
Mouse & Keyboard: Make sure you use the 'Snork Maiden' labelled items. The keyboard is attached at the back of the machine and the mouse is kept in the drawer directly underneath.
Barcode Scanner: Make sure this is plugged into the back of the machine
Unresponsive: Turn off and back on again using the rocker switch on the back of the machine. Further issues should be reported to the User Experience Librarian.
Set during the day to act as the tag pad.
Scan Lynsgoe card (If this doesn't work type the word 'exit' on the keyboard and hit enter).

If a book has an unreadable, empty, damaged or incorrect RFiD tag it will need to be converted to match its Barcode.
Using the LSD Tag pad machine (Snork Maiden) in Library Mode, click on:
‘Convert tags’ in the ‘Select Function’ box. This will bring up the tag converter window.
If the ‘Select Function’ box is not present you will need to ensure Goodstuff2 is running.
Scan the book’s barcode using the Snork Maiden scanner.
Place the book on the tray (it will come up as ‘Empty Tag’ or with the old barcode no.)
Press ‘Enter’ on the Snork Maiden Keyboard
The Item ID should now match the barcode - the tag has been successfully converted.
If there is no RFiD tag in the book, or it appears ‘empty’ on the Snork Maiden or Book Sorter it will need to be converted or replaced.
New RFiD tags can be found in the drawers at the LSD.
Stick the new tag inside the back cover of the book, close to the spine.
Follow the 'Converting a Tag' instructions to programme the new tag.
Close the Dahsboard and GoodStuff2 applications.
Right click on the GoodStuff icon in the taskbar and select exit.
Double click the LibRid3 icon to start the Self-Service function.
You can now return multiple books at once. The machine will take books off accounts and re-add security at the same time.
These machines should always be left on.
They automatically go into 'screen-save' mode and wake to the Library search page.
If they crash or a User has managed to 'sign-in' or accessed database/e-resources then they may need resetting. Please troubleshooting guidance below.
Catalogue Machines
If there is a problem with the machines they will need to be reset:
Touch each corner of the screen in a clockwise direction to exit the software
Enter the passcode (1964) in the prompt box
If required, you will need to log-in to the PC. Select the 'kiosk-user' profile and enter the password seq1664 (this step is not always necessary)
Re-open the KioWare software from the desktop

Get the keys from the LSD
Open the left hand panel on the machine
Push the reset button on the top of the internal PC (next to the green light).
Lock the panel and return the keys to the LSD
To access the KioWare configuration setting (only if trained): Please contact the User Experience Librarian
Complete the steps above to exit the KioWare software
In the start menu find KioWare Client and open the KioWare Config Tool

Touch all 4 corners of the screen in clockwise direction
Enter passcode in prompt box

Access Panel
Use the correct key to unlock the panel on the left.
Reset button
Push the reset button on the top (next to green light)
Use the PC Terminal behind the 'inside' sorter.
Use the keyboard to type 'exit' and hit return
Select 'Exit to Windows'
Double click the 'Libretto' icon on the desktop to restart the sorter.
Use the Snork Maiden Machine at the LSD
Find PV Supa Management Utility in applications
Open the software and use the bar on the left hand side to search for the affected machine
Right click on the sorter feed that needs attention and select restart
Press any of the Red buttons on the Book Sorter.
Twist the same button clockwise to reset the sorter.
Press the 'E-stop' Reset Button
Press the Start button
If the sorter has tripped out electronically it needs to be reset using the trip switches located under the flap below the Power Switch.
If the book sorter has a technical issue and cannot be restarted simply then it is placed out of order and the following protocol is enacted:
Signs are placed at the book sorter informing users to return books to the service desk
The North Door Book Drop bin is placed at the Library Service Desk (LSD) for users to return books into
The Tag Pad Machine (Snork Maiden) needs to be set to 'Self Service' Mode. Read 'Tag Pad Machine' - Self Service' above for instructions
Staff at the LSD will discharge books using the Tag Pad Machine (Snork Maiden) when they are returned, or at least twice per hour.
Staff at the LSD will then place discharged books onto the correct trolleys in the book sorter room in shelfmark order
The Returns bin will move to the reception desk which is manned by security overnight and all returned books will be discharged and placed on the trolleys the next morning by library staff.
Students and staff who do not have their library card can still access the library out of core hours using the barcode on the Sussex Mobile App or by collecting a temporary pass from the machine between the entry and exit gates.
Users will need to use their Sussex ID (first part of the email address) and Sussex password to print a temporary pass.
Using the machine will block the users library card for the rest of the day. They will not be able to use the self-service borrow or chromebook machines. If they wish to borrow an item they will need to come to the LSD and quote their username.
Users can only have one pass a day which will expire at midnight. If they lose the pass, or return on the same day with their actual library card the pass will need to be cancelled at the LSD using Sentry Juno.
If the Temporary Pass Machine stops working please turn it off, and then back on again, from the plug socket. If this doesn't solve the issue please report to systems: library.systems@sussex.ac.uk
A Sussex University user can use a maximum of 1 temporary pass a day.
They can use the day-pass machine to generate the pass by typing in their Sussex username and password.
If they have lost their temporary pass, or find their library card / use the CampusM app, the temporary pass will need to be cancelled on the system:
Search for them on Sentry
Select Search
Use 'Secondary ID' and type in their Sussex username
Select 'Ok'
This will bring up their information in Sentry.
Select 'Cancel Temp Pass' at the bottom of the screen. This will allow them to generate a new temporary pass on the machine by the gates.
Double check that the 'Out' box at the bottom is unselected.
If the temporary pass machine stops working or freezes, it must be reset at the left hand socket on the pillar behind the machine.
If the temporary pass machine stops printing, it could be due to an error with the printer or it has run out of till roll.
To change or fix the roll you will need the key, found and labelled on the main set of keys at reception.
Unlock the compartment on the left-hand side of the machine.
Press the grey button on the printer and swap out the till roll.
