LSD Opening / Closing Procedures
Access the LSD Keys using the Key safe on the wall to the left of the Snork Maiden
Unlock the cupboards and the drawers and turn on the lights at the LSD. Put the keys in the drawer under the Snork Maiden
Remove the Reporting and ILR Trays from the RH top cupboard and place at the back of the LSD
Remove the Keyboards and Computer Mice from the RH top cupboard, turn on and place at the correct station (the unit names should match)
Set Snork Maiden machine to Library mode (Scan the admin card in the drawer, or type 'exit' and hit enter on the keyboard). (Further instructions)
Turn off and return the Keyboards and Computer Mice to the RH top cupboard wiping down as you go.
Return the Reporting and ILR Trays to the RH top cupboard
Lock the cupboards and the drawers and turn off the lights at the LSD
Place the LSD keys in the key safe to the left of the Snork Maiden.
Set Snork Maiden Machine to 'Self-Service' mode. (Instructions)
Please wipe down all equipment (keyboard/mouse/scanner) at the end of each day.
Wipe down the surfaces on the LSD over the weekend.
Wipe down the stationery at the LSD on a weekly basis ensuring it is left tidily on the desk for students to use outside of hours.
Replenish the flyers/leaflets at the front of the LSD.
Don't leave rubbish lying around and report if necessary.
Make sure staplers have adequate staples - additional staples can be found in the drawer at the LSD.
Make sure staplers are filled with the correct sized staples.
Replenish paper clips and pens/pencils when they run low.
Make sure equipment is wiped down on a weekly basis and left tidily for students to use outside of hours.
Additional stationery can be found in the cupboard at the LSD.
Stationery will no longer be put away every evening but remain on the LSD for students to access overnight.

Processing Exceptions
Log into ALMA and bring up the fulfilment menu.
Select 'Scan in Items'
Tick 'Yes' for Place directly on hold shelf & Automatically print slip
Tick 'No' for External indentifier
Keep Register in-house use ticked
You must scan in an item before navigating away from the page to retain these settings (you cannot do it in advance).
Check the books on the exception trolley.
Our library books should be scanned in ALMA to determine the reason for the exception. (View instructions >>>)
Interlibrary Requests should be returned in ALMA and placed in the ILR reports tray at the back of the LSD.
Non-library books should be kept on the Exceptions trolley for the collections team to deal with
(Other library books are returned to their home institutions, non-marked books might be incorporated into our catalogue)

Make sure your settings are as above before scanning
Scan the book in the 'scan item barcode' section.
Requests will be shown by the requested user
Once scanned an email will automatically be sent to the user saying their item is ready for collection.
Use a long strip of card or piece of paper:
Add the last 4 digits of their 6-digit person code at the top
Write the title of the book & the shelfmark underneath
Add the removal date - 2 weeks from today (items remain on the hold shelf for this long)
Place the slip inside the front cover of the book with the top 4 digits in view.
Place item on the holdshelf in shelfmark order
Non-requests can be returned to the exceptions trolley for the collections team to complete. (e.g. reclassification).

Scan the book in the 'scan item barcode' section.
For non-request items the purpose for the 'exception' is given in a pop-up window.

If the item is not found but the barcode works, you will need to convert or replace the tag. Follow the instructions on the Alma & Processing page of this guide
If the barcode is not recognised or damaged add information to a green form and place in the reports tray at the back of the LSD.

Weekend opening is critical to library service provision; please provide as much notice as possible so that managers are able to arrange cover.
Email line manager cc supervisor (Remember to check who is the supervisor the day before). If possible email the night before or by 09:00 on the day of your shift.
To ensure messages have been received please also call the main library number (01273 678163) at 09:30 on the day of your shift OR if you are part of the Weekend and Evening team put a message on the WhatsApp group.
Add sick leave to MyView; if you are unable to add to MyView your line manager can complete on your behalf on Monday.
NB MyView doesn't like sick days at weekends. Set your sick day to a weekday and add a comment with the correct date.
If for any reason you are delayed for your LSD shift, please complete the following steps:
Email the supervisor who will be on the desk during your shift cc your line manager. It is also helpful to call the main library number: 01273 678163.
If you are part of the weekend and evening team please also message on the group WhatsApp.
Outline the reason for lateness and expected time of arrival.

Any switches marked EM should be left on at all times.
Some lights are on motion sensors so will not turn off immediately.

Switch manual light switches off throughout the library as you walk past.
(Leave EM TEST Switches on!)
You will need the 'Fish Key' on the big bunch of keys at the LSD
Insert the fish key into all 'numbered' window switches and rock up to close (and down to open).
These are only found on the Ground floor by the doorway to the Core A Stairs.
Courtyard 1
Use the 'Long Key' on the main bunch of keys at Reception
Front Doors
Using the Front Door keys (on the blue lanyard at Reception) lock the front doors using the top lock.
The keys are labelled left and right as you look at the doors from the inside
Fire Exits
Make sure all Fire Exits are fully closed in the Basements.
Other Doors
Use the GM (General Master) Key to ensure the Library Meeting Room and Admin Suite doors are both locked on the 2nd floor and the Seminar Rooms on the Ground floor.
Close manual windows throughout the library as you walk past.
