Lessons Learned
Background
Document important learning opportunities that arise during the life cycle of a project with Lessons Learned records. Here, users add and relate a lesson to their project, document a summary of the lesson itself within the record, include attachments, and use team Collaboration to share their Lessons Learned.
Access: From the module menu, Records --> Lessons Learned
Available reports: Lessons Learned Log
Lessons Learned - Field Guidance
Relate your Lessons Learned record to your project with the Project* field. A short Subject* is required as well.
Select the Best Practice checkbox if you'd like to use this Lesson Learned as a best practice.
Enter details regarding your Lesson Learned in the provided fields.
Click Save at the record header to save this record and relate it to your project.
4. Once your Lessons Learned record is saved, you are provided additional tabs for adding Notes, Attachments, for Collaboration, and to send Notifications to team members as needed.
5. Lessons Learned reports are available with the Chevron icon to the right of the Print button. Here, click to open a drop-down menu and then select BI Reporting.
Lessons Learned Collaboration
Within PMWeb, you can collaborate with other system users on any record for which you need review, input, or guidance using the Collaboration feature. With Collaboration, project team members are notified internally of a request for collaboration; and all collaboration is tracked within each project record.
To collaborate on a Lessons Learned record, click the Collaborate tab in the record.
Click +Add to open the Collaboration pop-up window.
3. Select your collaborator/s with the Request Collaboration Drop-down menu.
4. Select the permissions you'd like your collaborator/s to have on this record.
5. Select a Due Date and add a Message.
6. Click Save and Close to begin the collaboration submission process.
7. Select Comment or Review Complete and click Save to send your collaboration request to your collaborators.
8. A log of Collaboration and team communication remains in the Collaboration record throughout the lifetime of your project.
Sending Lessons Learned Notifications
Notifications in PMWeb records allow you to notify internal team members, and/or external parties via email, of your record-specific project updates. Notifications do NOT follow a system Workflow process, and are used as a tool for sharing project data as needed.
Click the Notifications tab within your Lessons Learned record to begin a notification.
Click +Add to open the Notifications pop-up window.
3. In your Notification pop-up window, select your internal notification recipients with the ellipse icons (left of fields) in the To, CC, or BCC fields.
4. Manually add any external email addresses into the Manual CC field, as needed.
5. Edit any Notification message Comments in the provided text entry area.
6. Use your distribution menu options to Send, Save, Schedule, and/or add record attachments to your Notification.
7. A record of all notifications within the Lessons Learned record lives in the Notifications tab for review and reference.
Lessons Learned Reporting
Within each PMWeb record, you have the option to pull and save a report of activity for that record at any point during the life-cycle of your project. You can download record files from PMWeb in a number of formats.
To view your Lessons Learned reports, click the Chevron to the right of the Print icon.
In the drop-down menu, click BI Reporting to open a report pop-up window.
You are now presented with a preview image of your default Lessons Learned report.
3. Click the Eyeglass icon for additional filtering options and to view the full report.
4. In a new pop-up window you can now see a full scale version of your default report.
5. Use the provided filtering options to customize the report as needed.
6. Click View Report to update any filtering changes.
7. Click the small Chevron to the right of the Save icon to view and select your report exporting options. Note that most reports should be exported using a PDF format instead of Excel except for the Projected Quantities record.
