Cake Stall or Salad Bar Donation
It is tradition for all school families to donate one item to either the Cake Stall or Salad Bar. Both these stalls regularly sell out so donations provided from the wider school allow the stalls to remain open maximising the fundraising.. Please Click here for more information. Ka pai!

Stall/Task Coordinators: Edit these lists to suit your needs, then ask parents to put their names on the lists (online and/or print them out).
Parents: When requested, volunteer your help by putting your names next to task on the lists.
Games
Ultimately the number of games setup is based on the number of parent and C11 students volunteering on the day, as each ticketed game needs to be staffed to manage the line and award the prizes.
Games Ideas (more detailed info at the bottom)
Tin Can Alley – Knocking tins down with hacky sacks (Very Popular)
Clown Sponge Throw (wooden clown cut out in CA container)
Pillow Fight on the Balancing Beam (school beam and mats)
Football Target Net, fits the new white football goals, prizes for kicking (or throwing) through one of the hole. 3 x footballs in CA container also (may need pumping up)
Cup Pong
Quoits (good for a free activity while in line for bouncy castle)
Check with the class parents if they have anything to offer. In the past a frisbee golf goal was setup
Bouncy castle Hire - talk to the C4 / CA team about the hire of a bouncy castle which c11 students / parents manage. Additional games such as archery can also be hired (eventhire.com)
Other hired activities 2023 and 2025 Pedalmania was paid for by CA. Jeeps were used in past but issue with the new owner meant has not been hired for some time . Discuss with C4 team and CA.
And any other games you can think of with 6-13 year olds in mind.
Note - no games involving the use of food/edibles (but prize may be food).
What you need:
The following items need to be brought on the day for the ticket booth,
Ticket roll & pens before purchasing check CA Container first:
Bins for ripped tickets
Prizes (see below and roster for ideas)
Trays/baskets for baked goods or popcorn prizes
biscuit tins/containers
Serving tongs for baked prizes
Before the fair:
Decide on what games to run,. For 6 parents/students per hour, suggested to limit games to 4 or 5 activities on the field + 1 x bouncy castle (ticket collector)
Decide of Prizes - See the Roster for Ideas - Soft toys etc from White Elephant/donated, popcorn, baked goods, 1 or 2 x new games ticket.
Provide a box to go in the white elephant container for good condition toys, books, games and other ideal prizes. Label the box and co-ordinate with class 12 as you need their help and co-operation with this.
Sort what games you will do and get a system really sorted and rosters complete. Rosters important as this is the main parent and student commitment and requires many man hours.
A gazebo and two trestle tables are delivered by class 4 fair team. In 2022 Gazebo was setup with tickets on one side and prizes on the other.
Big clear signage important - Games – Tickets – Prizes etc.
Consider your layout and traffic flow, some cordoned off/roped areas would be helpful (we had people coming from the ticket booth walking in front of the quoits throwers as a problem). Throwing type games need a fence or trees behind.
Important Notes:
The games are busier in the afternoon and can get quite chaotic if not organized and supported well.
Ensure those on roster bring a water bottle as it can be hot work.
A 5 min training or hand over period is ideal for consistency of service and to make sure those on the roster know what they are doing (including ticket booth)
Pouches for ticket collectors are handy – there are four in the games stuff in the C/A cupboard.
Ticket /Prize Table:
Definitely needs two people per hour for Tickets and Prize Table.
Some see the prize table as a toy stall so signage important
A system that includes marking a winning ticket so the contestant can take this to the prize table to choose a prize is needed.
It was important that tickets were ripped and disposed off in the bucket available at each game site so that there were no tickets “floating around”. No prize should be given if the ticket is not ticked or if it is ripped!
We had 2 rolls of tear off tickets and that was plenty
In 2023, Games were $2 a ticket.
If the bouncy castle is setup this comes under the games and needs to have a person managing the time, this person could also collect money with a money belt and separate float, or tickets can be sold at the gazebo however see past feedback > we did sell a different ticket at the ticket booth for the castle as well but selling tickets only at the ticket table doesn’t work as parents queue up for a turn, and don’t realise they need to go and get a ticket elsewhere.
Rosters
On each game and at the Ticket/Prize Booth need one or two class 11 students (or a parent) with at least one adult supervising/keeping an eye on things.
Set Up
Plan ahead for what you are wanting to do on the day, including checking out the area of the school field that you will have and possibly sketching out the games layout. This will make the Saturday morning setup by your rostered on adults / students nice and easy.
Prize Ideas
For all prizes, keep in mind the special character of the school - ideally not poor quality plastic toys or junk food. Prizes clean and not broken.
Soft toys and baking are the most popular prizes.
Soft Toys. They must be clean and in good condition. Class families have in the past supplied a lot. You can also put notices in the school newsletter asking for soft toys. Coordinate with class 12 for suitable donations dropped off for the White Elephant that could be handed over for the class 11 games.
Most soft toys have in the past been used on the Quoits game, where they were laid out on the ground, a soft toy beside each stick, so that children could aim for a particular toy if they wanted.
2022, stuffed toy was gifted for 2 winning tickets and baked good or cup of popcorn for 1 winning ticket. Children were happy with that and many came back multiple times.
In 2014, donations of non-alcoholic bottled goods were collected from the school community as prizes for a ring toss - toss ring over a bottle of juice/shampoo/cordial to win it.
When prizes are gone can revert to free games or a free glass of lemonade
Comment from previous organiser: "If we did games again we would concentrate on soft toys and baking (afghans were particularly popular). It is also worth putting an ad in the school newsletter asking if any parents have items that would be suitable for prizes. We had an amazing collection of agates and petrified wood offered like that. This was popular with the children."
Lemonade
It's a good idea to have Lemonade available for sale at the Games stall, speak with class 6 or the class 4 fair team about getting a container for the gazebo, the kids get very hot and thirsty around the games stall.
Games Rules (from past Fairs) See PHOTOS HERE
Quoits
Very popular game especially when you have great prizes. Warning - you get through a great deal of prizes.
Set out soft toys beside the quoits stakes so that children can aim for a particular toy. If children do not want a soft toy they can go to the prize gazebo and choose something else. In this case their ticket should be marked with a “tick” and given back to them to take to the Prize Gazebo.
2 people needed. 1 to collect tickets and control at throwing point; 1 to pick up quoits and update prizes. Adults beware of bending over continually for an hour, this is best suited for students – or get the throwers to fetch them back.
We had 8 quoits, 1 ticket for 4 quoits meant that two could be doing it at the same time.
Set up 8/9 cricket wickets in the ground. A number of bricks to elevate small prizes off the ground
In 2015 we had issues with establishing the right degree of difficulty for young kids and older kids/adults. Our line got further and further away as great prizes disappeared quickly. Also, young children were frustrated when an adult would come along and scoop prizes from the front for their children. Establish some sort of fair system! Maybe 2 lines?
Pyramid throw: Tin Can Alley
Always popular. For tins and balls look in CA Container, may need a couple new made. Weighting tins with some sand helps it be a bit more of a challenge
Stack cans on a table – Something behind good idea (hay bale for example) S I think it better to have it so they all fall off rather than just shift along the table
Each player is given 3 hacky sacks; knock all cans off for a prize.
Sponge Clown:
Sponge clown frame is in caretaker's yard; you will need buckets for water; 3 x large car sponges borrowed from caretaker.
Prize is given for 1 accurate sponge thrown either through the hole (if no one there) or a direct face hit if some one is fronting up.
Pillow fight on the balancing beam:
Children pay to fight just for fun - there are no prizes.
Use the school blue beam (not too high) and mats - they should be at the back of the stage or in the hall - arrange for these to be where they can easily be collected. Bring sturdy pillows for pillow fights.
