Financial Assistance and refund policy

Financial Assistance

If an athlete needs financial assistance, please contact a coach or a board member. We will do our best to accommodate any athlete who needs help paying the season fee.

We also give a sibling discount. $25 off the first sibling, $50 off the second, $75 off the third.


Refund Policy

Refunds will be granted if the player moves out of the area (Rifle to Glenwood to Aspen), if the player is unable to participate due to injury or illness as documented by a physician, or if a written request for refund is submitted to the Board of Directors after a new participant (has never enrolled in Springers) has attended no more than 3 practices. 

Medical or location refunds will be issued based on a prorated amount, new participant refunds will be issued with a 25% processing fee. 

Refunds will not be granted if a special request cannot be honored, if there are conflicts with practice or meet schedules or for amounts less than $10.00.


Early Registration Discount

When financially possible, an early registration discount will be made available within the normal registration process. One discount is available per family, per season.  

Sibling Discount

A sibling discount is available within the normal registration process.

Coaching Discount

All coaches (paid or volunteer) who participate in at least 50% of team practices will be able to register their children at no charge. The assistant coaches must be pre-approved by the head coach.

Need-Based Assistance Awards

Glenwood Springers Track Club is committed to providing a high-quality, affordable youth track & field program. While we try to keep club fees low, we realize that paying the full amount can be a hardship for some families. Glenwood Springers Track Club Financial Assistance Program exists to help ensure that no one is prevented from joining the Springers’ Track Club for financial reasons. Our goal is to offer some assistance to every family that demonstrates need. Budget constraints may not allow us to give everyone the level of aid they believe adequate.

Families who have a financial need may request a scholarship. Financial assistance award levels vary according to need. Based on factors such as family income and family size, awards may be granted to cover from 25% to 100% of Club Fees. Families must complete the Glenwood Springers Track Club application to be eligible.

Glenwood Springers Track Club is using the 2018 Garfield County Area Median Income Limits to determine financial assistance.

·    Families in Category 2 may request a 25% discount ·    Families in Category 1 may request a 50% discount ·    Any child in foster care may request a 100% discount.

Families may be asked to provide proof of income.

A financial assistance award will be used to pay a percentage of the club fees only.  Travel or meet fees (except those covered by the club for all participants) are the family’s responsibility.

Special Circumstance Assistance Awards

Any family that feels it needs financial assistance for their child to participate in Springers should submit an application. Special circumstances—such as large medical expenses not covered by insurance—will be considered. Please include an explanation of such circumstances in the financial assistance application.

A special circumstance assistance award will be used to pay a percentage of the registration fee only.  Travel or meet fees (except those covered by the club for all participants) are the family’s responsibility.

Confidentiality

To ensure the privacy of our families, all requests for financial assistance will only be made available to the Board of Directors and Head Coach. All financial information is maintained in strict confidence.

How to Apply for Need-Based or Special Circumstance Awards

Submit an application

You will receive notification of your award by email. If an award is granted, a discount code will be sent so you can register your child at the discounted rate.

The President of the Glenwood Springers Track Club may approve any exceptions to this policy or grant awards to volunteers who give a significant amount of time or resources to the Glenwood Springers Track Club.
