Bristol & District Branch Annual General Meeting

Minutes of meeting held at

St Monica Trust, Westbury on Trym, Bristol

on Saturday 7 March 2020 at 10.30 am

1. Welcome

The Annual General Meeting was opened by outgoing Branch Chair Tom Phipps, who welcomed everyone to the meeting before handing over to PUK Director of Services, Katherine Crawford, who had agreed to chair the meeting. Katherine warmly welcomed members, guests and those attending for the first time, and commented on how encouraging it was to see so many members at an AGM.

59 were in attendance at the AGM.

2. Apologies for absence

Apologies were received from Kay Stimpson, Wendy Fletcher, Brian and Linda Jordan, Dawn May,

Mike and Sheila Delaney, Paul Williams, and Caitlin Lott.

3. Minutes of the last AGM

The minutes of the meeting held on 2 March 2019 had been sent to all members by post. It was

agreed that they were a true record. Proposed by Tom Phipps and seconded by Terry Jennings.

4. Matters Arising

There were no matters arising.

5. Officers Reports

Reports from The Branch Chair, Honorary Treasurer, Honorary Secretary had been previously circulated with the minutes.

The Chair of the meeting invited the Branch Chair, Tom Phipps and Treasurer, Bridget Astley to briefly expand on a few items contained within their reports.

Tom Phipps mentioned the new creative arts class for less mobile members and the problems of recruiting new committee members.

Bridget Astley, gave a power point presentation to briefly show the finances of the branch.

The chair thanked Tom and Bridget, and invited members to ask relevant questions if they had any. Approval of the reports was given by a show of hands.

6. Re-appointment of the Branch’s Independent Examiner of Accounts

The Chair thanked Alan Feltham for the work carried out over the past year. He had indicated his

willingness to be the Branch’s Independent Examiner of Accounts for a further year.

It was proposed that the branch re-appoints him for a further year and was carried by a show of hands.

7. Election of Branch Chair for 2019/20

After standing as Branch Chair for 6 years, Tom Phipps had decided to stand down. Clive Mitchell for Branch Chair was proposed by Mary Burton and seconded by Tom Phipps. This nomination was carried by a show of hands.

8. Election of Honorary Officers for 2020/21

Vice Chair: Terry Jennings is willing to continue in post for another year. Proposed - Megan Jennings Seconded – Taryn McHendry.

Treasurer: As there are no nominations for Treasurer, Bridget Astley is willing to be co-opted to continue in post for another year.

Branch Secretary: John Morgan is willing to continue in post for another year. Proposed -Tom Phipps

Seconded – Nic Mortensen.

Approval of the nominations was carried by a show of hands.

Election of Committee members for 2020/21

The Chair thanked all those other branch members who volunteer their time to

Organise plant sales Help with events throughout the year Fundraisers

Katherine took the opportunity to thank the members for all their support.

At this point Katherine passed the Chair to newly elected Chairman Clive Mitchell.

10. Appointment of Branch President

Clive confirmed that Lucy Mooney has accepted the invitation to stand as Branch President for a further year.

Members approved her re appointment with a show of hands.

11. Votes of Thanks to out-going committee members

Tom Phipps 8 years on committee, 6 years as Chair

Taryn McHendry 1 year on committee.

Chair thanked them for their valued contributions to the committee.

12. Notices and any other business

With the business of the Annual General Meeting completed, Katherine gave a short talk on PUK’s vision of the future and took some questions from the floor. This was followed by a talk by Caitlin Campbell on the ‘Improv theatre’ in Bristol.

The meeting closed at 12 noon.
