Many people tend to go straight to their print command within their browser menu.(img 5.) This method will render poor results. The browser will try to print the whole window contents, including the sidebar on the left. Often the text in the email runs off the right of the page, truncating (cutting off) the text. Try to remember to use the method in img. 4 for printing single emails and the method in img. 2 when you want to print all the emails in the conversation. If you were to click the printer icon (see img. 2, circled in red) within the top email, then all emails in the conversation will be printed. Notice this printer icon that is circled is not in any one email but above the conversation. The print feature to print only one email will be inside the email you wish to print. (See img. 3 and img. 4)
I get calls often as to why a person's printout of their email does not look right. Most of the time they are not using the correct print method. So I added this tutorial to my website to refer them to, but you are welcome to it as well. Before we get into the different ways to print a Gmail email, we need to review how Gmail does "conversations".
If person A sends an email to person B and person B clicks the Reply, then Gmail will start a conversation. A conversation is a collection of all the emails that are replies to one another.
In img. 1 are three emails I sent between myself in a conversation. They went like this. Person A sends person B an email. Person B replies to the email. Then person A replies to person B's reply.
In the next image (img. 7) you will see a snapshot of the same email printed using the method described in img 4. Notice the sidebar and search was not printed. The subject line and the text are intact; not truncated. The signature is not missing. The email was formatted by Gmail before it was printed and looks good.
