Risk Management - Coaches
Coach import due dates from each club
Spring Soccer coach import date - no later than March 10th
Fall Soccer coach import date - no later than August 7th
In order to be in compliance with USSF safesport policies all coaches have to complete the risk management process.
The risk management process must be completed prior to a coach being able to attend a practice.
Coaches and Risk Management
In order for the coaches to be approved by Kentucky Youth Soccer and to complete the Risk Management process the coaches have to be setup and listed in the team staff pool. The coaches can be added manually by your club registrar or via an import like the player import to the Team Staff Pool in Demosphere.

Coaches have to be risk management approved before they can coach or even attend a practice. This means the coaches will need to be added to the KYSA demosphere Risk Management portal, which is also called the Players Health Protect Risk Management System, prior to the season beginning in order for them to complete the risk management process.
Risk Management components – a coach is not approved to coach any practice or games until all of the components are completed and approved. Please manage the timeline in order to have this completed at least 2 weeks prior to the start of a soccer season.
· Background check - is good for 2 years
o Estimated time is 30 min or less to log in and answer the questions to initiate the process for the background check
o Background approval can take up to 2 weeks once an individual has initiated the process
· Safesport training - is good for 1 year from the date the training is completed
o The first time a coach attends the safesport training it will take about 3 hours to complete all of the trainings in the module
o All coaches that continue to coach after the first year will be required to renew the safesport training as it approaches the expiration date.
Email reminders will be sent starting 60 days prior to expiration date
o The 2nd and 3rd year safesport refresher course takes approximately 30 min each year to complete the requirement to maintain compliance for Risk Management
Coach import template – This will only work if the coach doesn't have any info in the KYSA demosphere system, so typically only brand new coaches. The coaches email address is required in order to complete the risk management process.
