To publicize our exhibitions effectively, our PR Consultant will distribute press materials to various magazines, newspapers, and journals. Please note that the deadlines for inclusion in many publications are often four or more months prior to opening, so timely preparation of press materials is crucial. Once we receive your first draft label copy, we will schedule an introductory call with Amanda to help develop your press materials.
In June of each year, the Grolier Club issues an Advance Exhibition Schedule to media, announcing the slate of exhibitions planned for the coming Fall through the following Summer. In May, the PR Consultant will request brief materials for this schedule, including the exhibition title, public dates, a one-paragraph overview, and one signature PR image.
In the course of selecting your exhibition items, plan ahead for suitable images to be provided to various media outlets upon request. Grolier Club staff can advise you on which images will reproduce legibly. The image selection should feature key objects in each section of the show, much like a curatorial tour of exhibition highlights.
10-12 high-quality digital images of at least 300 dpi (at reproduction size) resolution are required, ideally e-mailed to the Exhibitions & Communications Manager and PR Consultant. Each image must be accompanied by a brief press caption, with title, artist/maker, date, and other key object details, as well as any required collection or copyright text, and the photographer credit.
The Grolier Club staff and PR Consultant will work with you to create a draft press release: a two-page summary describing the subject of the exhibition, its aims, and some of the significant items that will be included, which should match up with the PR image selection.
Twelve weeks before the exhibition opening, background materials for your press release should be e-mailed to the PR Consultant, who will work with you to draft the press release. Texts can include wall/label texts (especially those for the selected PR images), checklists, essays, or any other written background for reference. All press materials must be proofread and are subject to final approval by the Grolier Club's Director and Public Exhibitions Committee Chairperson. Acknowledgment of funders or other required wording must be included in all versions of your text.
The exhibition press release will be issued at least ten weeks prior to the exhibition opening, and then potentially updated and re-issued approximately two to three weeks in advance of the show.
