Project Powerful Presentation and Reporting for Effective Managership in Manila Doctors Hospital

Situational Analysis and Backgrounder

 

The conceptualization of the Project Powerful Presentation and Reporting for Effective Managership in Manila Doctors Hospital was triggered by a May 9, 2012 event in Manila Doctors Hospital wherein I conducted a 3-hour session entitled “Powerful Presentation Skills and Reporting” to 11 middle managers. 

 

In the session, the participants and I agreed that mastering powerful presentation skills and reporting contributes to effective leadership and managership.

 

After the session, I asked myself, how do I make a follow-through with what I just facilitated so that the participants can master what they learned on powerful presentation to become effective leaders and managers in their respective units.

 

In the session, as part of the practicum, I asked the participants to make an 8-minute digital slide presentation on the topic “Meeting the Challenges in my Unit or Position  - my Plans in 2012.”  The scenario was they are making the presentation-reporting to the Senior Management Team (SMT) and Management Committee (Mancom).

 

While listening and imagining the scenario, their presenting to the SMT and Mancom, I perceived three possible impacts their presentation of the assigned topic would create if they do the actual formal presentation to the SMT and Mancom.  The first impact will be a progression towards mastery of a powerful presentation.  The second will be a well-thought-of master plan in meeting the challenges of their positions and units which in turn will promote their effective managership.  With effective managership of the middle managers, the third impact will be an effectively managed unit.  Of course, the ultimate impact will be an effectively managed MDH as a result of the effective managers and effectively managed units.

 

With these potential impacts in mind, I decided to formulate and develop this concept paper on Project Powerful Presentation and Reporting for Effective Managership in Manila Doctors Hospital.  Basically, the project consists of four key activities:

 

 

 

 

 

 

Goal of the Project:

 

To enhance the presentation and reporting skills of middle managers of MDH so as to make them become more effective managers of their respective units and thereby, contribute to the business plans of the hospital.

 

Stated in another way,

 

At the end of a 3-year project, all middle managers of MDH must be able to do powerful presentation and reporting that will contribute to effective management of their respective units / position with resulting impact on the business plans of their units as well as that of the hospital.

 

Targets of the Project:

 

Given a 3-year period, all middle managers of MDH must

 

·        Attend the ROJoson’s  Module on “Powerful Presentation Skills and Reporting.”

·        Prepare a 5- to 8-minute formal presentation to the SMT or Mancom with the title “Meeting the Challenges in my Unit or Position  - my Plans.” 

·        Present to the SMT and/or Mancom on their plans to meet their challenges.

·        Report on the results of implementation of their plans.

 

 

Educational strategies:

ROJoson’s coaching on formulation of strategic and operational plans to meet challenges

Presentation to Mancom and /or SMT

 

Administrative strategies:

Support from Mancom and SMT in the plans of the middle managers to meet their challenges

 

 

Step 1.  Attend the ROJoson’s  Module on “Powerful Presentation Skills and Reporting”

·        Prepare a 5- to 8-minute formal presentation to the SMT and/or Mancom with the title “Meeting the Challenges in my Unit or Position  - my Plans.” 

 

Step 2.  Receive coaching assistance from ROJoson to refine plans to meet challenges that will be presented to SMT and /or Mancom.

Step 3. Present to the SMT and/or Mancom on their plans to meet their challenges.

Step 4. Implement the plans with support from SMT and/or Mancom.

Step 5. Report on the results of implementation of their plans.

 

 

   

ROJoson’s Module on “Powerful Presentation Skills and Reporting”

 

At the end of the 2 to 3 hours of teaching-learning sessions, the managers - learners should be able to:

 

Terminal Learning Objectives:

 

·        Demonstrate a step-by-step accomplishment of essential tasks needed in preparing for a presentation.

·        Demonstrate ability to create proper digital slides to be used for presentation.

·        Demonstrate ability to deliver a powerful presentation using the following criteria: verbal delivery - clarity and understandability of contents; use of digital slides - clear and clean; achievement of objectives of presentation.

 

Enabling Learning Objectives:

 

1.      Explain what are “presentations” and “reporting” being done in a hospital setting; being done by hospital managers.

2.      Explain the difference between “presentation” and “reporting.”

3.      Enumerate the six common types of presentations that hospital managers should master.

4.      Enumerate the usual objectives and parts of the six common types of presentations.

5.      Enumerate the essential quality parameters and criteria of powerful presentations.

6.      Enumerate the two requirements needed to produce a powerful presentation.

7.      Enumerate the two general quality targets in creating digital slides for presentation.

8.      Use a checklist in preparing for a powerful presentation.

9.      Use a checklist in evaluating a presentation.

Learnshop and Practicum:

 

Each participant will give a 5- to 8-minute reporting using a digital slide presentation.  The scenario is he/she is being asked to give a 5- to 8-minute reporting to the Senior Management Team and Management Committee on “Meeting the Challenges in my Unit or Position  - my Plans in 2012.”   

 

 

 

Specific Operational Plans for the Project:

Inventory of middle managers of MDH – about 90 (according to John Austria)

 

Over a span of 3 years, all the middle managers will have to attend the module on “Powerful Presentation Skills and Reporting.”

 

Over a span of 3 years, 2-4 middle managers will present to the SMT and/or Mancom during the latter’s monthly meeting.

 

Scheduling of completing module and making presentation will be prioritized, one parameter to use is the criticality of the post / unit of the middle managers.
