This document outlines all the duties that sales staff need to fulfil within the QuickEasy program.
Sales staff have the following duties in QuickEasy:
Create and Send quotes to customers
Create SO & WO
(if required) Update SO & WO
Navigate to the Quote Module and either Create a new quote or copy an older quote
Make sure that the following is entered into the quote
The correct Customer
A contact
A Reference
A setup service (either as a line item or within an estimate)
Delivery instructions
A completed quote can be sent out of QuickEasy by clicking the "Output" menu then selecting "Email" then "Quote Letter"
On acceptance of a Quote by a customer, Sales needs to fill in the following information before creating a SO from the quote in question
Fill in mandatory fields (Checklist)
Delivery
Delivery Address
Category
Setup
Due Date (with a valid date and time)
A Contact name
Customer Purchase Order Number
A Sales order can now be created by clicking the "Action" drop down menu, then clicking the "Create Sales order" option. Sales reps need to be aware of the different processes required for
After a job has been booked in, it may be the case that the initial job specifications change. Eg. Size change, media change, qty change etc.
An action is now available on the QT module that will allow users to create a version of the original quote, then update the linked SO and the linked JC by simply clicking the "Update SO and JC" action.
Steps are as follows
Find the original "Accepted" quote, open the quote and click the "Action" menu and select "Copy to Version"
Make the required changes to the version of the quote created in 1 above.
From the "Actions" menu select "Update SO and JC".
