Monthly Duties
Note that although each school is run differently and there may be some items in this list for which you are not responsible, most of these tasks will fall into the job description of every CCIC.
Meet with rising seniors and parents to discuss college and career plans (SEE MEETING WITH RISING SENIORS)
Review and update college handbook (examples: Magruder’s Senior College Handbook, RM’s College Admissions Handbook)
Facilitate summer workshops: Financial Aid, College Application Process, Common App/Coalition, Essay Workshop, Naviance, etc.
Create flyers and social media posts to advertise these events
Share countywide workshops with the community
Start a monthly calendar of events for the year to include Senior Parent Night, Financial Aid Nights, Junior College Night, ASVAB testing, etc.; add to school website calendar through webmaster, CCIC website calendar, and inform Business Administrator, and submit paperwork for in school events
Order materials for financial aid nights in September/October (SEE FINANCIAL AID NIGHT & RELATED MATERIALS)
Prepare the college rep visit schedule for the upcoming school year using Rep Visits in Naviance—be sure to check school closures prior to creating the schedule
Prepare the School Profile, pull information for the School Profile as needed, working with your administrator to access the data (e.g. how many students received the National Merit Scholarship, the percentage breakdown of where students are going after high school, etc.)
SAT information is retrieved from the MCPS Profiles—select your school and print sheet
ACT information is retrieved here; you may need to create an account (go to ACT scores and reports, select Summary for your School); google Maryland State ACT Composite Mean for the current school year
Work with rising seniors on Naviance and Common App (SEE NAVIANCE)
Visit colleges and receive professional development that will help support your school and community
Posse Foundation nominations are due in August (SEE POSSE FOUNDATION SCHOLARSHIP); students who were selected in April/May for the Posse Foundation Scholarship will receive invitations via their personal email (it is very important for students to fill out the online application before going to their first assigned interview!)
Order materials for the College and Career Center, if money is allotted (SEE ORDERING MATERIALS)
Review and share updates for the College and Career Planning “Checklist”
Collaborate with the counseling team to provide Naviance training for new staff (if you are the Naviance superuser in your school, update with new teachers, new counselors and assign students to counselors)
Begin planning for On-the-Spot admissions events
Reach out to college reps to see if they would like to be in attendance for events
***For ACES schools only: Summer ACES Readiness Program – Grades 9, 10
Attend CCIC meetings (CCIC meetings are very helpful; there are usually resources and collaboration time provided, great information is shared)
OPTIONAL: Attend CCIC coffee chats on Fridays via Zoom
Continue to meet with senior parents and students by appointment; you will meet with students and parents throughout the year about college information
Make sure to use Naviance
Keep meeting notes for each student
Set up senior parent meeting (evening event—either virtual or in-person or both, depending on your community)
Counseling department meetings normally take place every week; have something to report at these meetings (scholarship applications, college fairs, college visits, etc.)
Schedule and begin college visits (SEE COLLEGE REP VISITS)—recommend waiting until at least the second week of school
Advertise the college visit on the announcements, the PTSA listserv, your CCIC website, and through Naviance
Students will sign up using Naviance and/or receive a pass from you
Advertise college scholarships, internships, apprenticeship, programs and FAFSA (Free Application for Federal Student Aid) via announcements, the PTSA listserv, your CCIC website, and through Naviance
Review your FAFSA completion plan with your counseling team and ACES, CDI or College Tracks to ensure everyone has a role in supporting students and families
Begin grade-specific Naviance planning and tasks
Set up National Merit Semifinalist meeting and recognitions
Work with counselor and/or registrar to enter transcripts for NCAA Eligibility center
Continue to reach out to college reps for the On-the-Spot events
Continue attending counseling department meetings and CCR team meetings and provide updated information for the week
Continue to schedule college rep visits
Continue to support the College Career Readiness team with all activities and plans including serving on the team as needed
Notify students and parents about college visits via announcements, the PTSA listserv, your CCIC website, and through Naviance
Provide information to seniors and parents reminding them about early action and early decision deadlines
Implement National Merit Commended Students recognition event (if you have students to recognize)
PSAT school day (admin may request the counseling team to plan a college/career program)
Plan for the Hispanic College Fair Field Trips (SEE COLLEGE FAIR PLANNING)
Forms needed for College Fair trip—the buses for this fair are paid for
Check with your Business Administrator to make sure all school-specific processes are followed
Continue to meet individually with seniors on college process, applications, etc.
Inform students about scholarships, college visits, enrichment opportunities and community events, etc., via morning announcements and Naviance email
Start or continue scheduling On-site Admissions Events with colleges that provide them for county events
Meet with college reps as much as possible to find out new information
Assist students who have November 1st deadlines
Host Financial Aid night
Offer college application work sessions (during lunch or after school)
Publicize Community HBCU fair (Alfred Street Baptist Church)
Begin grade-specific lessons, planning and tasks; check with your Resource Counselor about visiting homerooms, English classes, etc.

Montgomery College application drive
Outreach for students who qualify for Rales O’Neil Scholarship
Contact student/parent to see if they qualify
Set up time to meet with them to complete application prior to the winter break
Students begin articulating and course selection
Partner with the counseling team to be available during registration
Speak to students about college and career readiness opportunities
Discuss ways students can meet with you
January and February FAFSA events
