College Rep Visits in your Building
Most high schools use Rep Visits, which is adjacent to Naviance, to schedule their college rep visits for the year. Contact other CCICs for help with setting this up; ONLINE INSTRUCTIONS are also available. Once a visit has been scheduled, you will receive an email with the relevant information; unless you indicate in your set-up that you would like to approve each individual visit, they will automatically appear in Naviance.
If you are scheduling your own visits, college admissions reps will begin contacting you in July and August and into the early fall via phone or email to set up a time to come in and speak with interested juniors and seniors. Follow these best practices if scheduling this way:
When the college rep calls, look on your Outlook calendar to make an appointment with them. Schedule visits in one-hour intervals and try not to have more than three per day. It's up to you whether you schedule visits during the lunch hour, but don’t schedule anything after 1:30 p.m.
List the visit on Naviance (go to Colleges, and click on Visit to look up the school under the “Lookup” link). If the school isn’t listed, type it in. Follow the instructions and click Add when you’re done. The visit is now in the Naviance system and students can see it through their accounts. They may come down and ask you for a pass, or they may print out their confirmation page as their pass.
Email the school webmaster to add the visits to the school website calendar.
Email morning announcements to staff weekly to give them the upcoming week’s visit schedule; you can also notify parents via the PTSA listserv.
