Set up your email client

We recommend that you use KUMail (Gmail) as Webmailon your browser, not with an email client.

    • The Web version of Gmail can search your mailbox very quickly.

    • Even if you own multiple PCs, you can use KUMail across all your devices with the same environment. It's also easier to take your environment with you when you move to another department.

    • Please understand that we only support the use of KUMail as Webmail. If you'd like to, use KUMail with your email client software at your own risk.

If you use an email client for KUMail, we recommend that you choose one that supports OAuth (where you authenticate with your SPS-ID) such as

Note:

    • If you'd like to change your sender address (From address) to your secondary group address (***@mail2.kyoto-u.ac.jp) or departmental address, you need to set it up on your browser in advance. See here for instructions.

    • Filtering your messages in your email client can cause unexpected issues. Make sure to filter your emails in the web version.

Previously, users who wish to use an email client that doesn't support OAuth authentication had to enable Less Secure Apps and log in with your Google local account. However, Google is planning to gradually turn off Less Secure Apps option in the future.

Please consider using an email client software that supports more secure OAuth authentication.

If you continue to use an email client without support for OAuth, please use App passwords instead of logging in with your Google local account.

Due to the impact of COVID-19, Google is suspending the LSA turn-off. When they update the timelines, we'll let you know on this website.

We don’t recommend using an email client without support for OAuth such as

  • Outlook 2016 (Not available for KUMail. Please update to Outlook 2019.)

  • Becky! Internet Mail (Manual available only in Japanese. Update 2020/11/30: Becky ver. 2.75.02 added support for OAuth.)

Likewise, we don’t recommend connecting via POP because OAuth authentication may not be available.

Gmail bandwidth limits

Be careful about the bandwidth limits for Gmail IMAP/POP connection as shown on the right. Exceeding the limit can lead to an account suspension. Learn more on Google Workspace Admin Help.
