Dear {{parent.txtlettersalutation}}
({{parent.txtrelationtype}} of {{pupil.txtprename}})
We trust we are well and hearing about the start of the school from {{pupil.txtprename}} on a regular basis.
As you might be aware, boys in the Sixth Form are allowed to use a popular commercial gym close to the boys' boarding house, called The Gym (weblink: https://www.thegymgroup.com/find-a-gym/strood-gyms/strood/).
We would like to provide you with the guidelines and regulations pertaining to the use of the gym facilities while your son is staying in our boarding house. We believe it's important to maintain a structured and safe environment for our boarders. Please take note of the following rules and expectations:
Membership Validation: Before using the gym, each boy must possess a valid membership. The Head of House, Mr. Coetzee, will ensure that this requirement is met.
Parental permission: Boarders can go to the gym on weekdays between 7 pm and 9 pm. If a boarder wishes to go to the gym at this time and thus miss out on the second prep session, we require a permission email or letter from parents or guardians. This ensures that we have your consent for this activity and that {{pupil.txtprename}} will be responsible for catching up on the missed prep time in his own time. On weekends boarders can use the gym when not required to be at a meal time or on a boarding trip.
Punctuality: Boarders must be punctual for morning and dinner registration. Any lateness will result in the forfeiture of the privilege to use the gym on that day.
Return by 9 pm: Gymgoers are expected to return to the boarding house by 9 pm. Failure to do so will result in the loss of a day's gym session.
Permission to Leave: Boys who wish to go to the gym should ask the duty teacher or houseparent for permission each time they leave. We believe this demonstrates good manners and ensures accountability.
Scan In/Out Procedure: To maintain security and awareness of their whereabouts, boys must use the Reach system to scan out when heading to the gym and scan back in upon their return to the boarding house.
We view access to the gym as a privilege and reserve the right to withdraw this privilege for the following reasons:
A. Lateness to morning or dinner registration.
B. Concerns raised by teachers, parents, guardians, or house staff regarding academic performance.
C. As part of a sanction for more serious infringements, such as dishonesty with house staff or repeated missed deadlines.
D. Any other valid reason deemed appropriate by the House Master.
We believe that these guidelines will help maintain a structured and supportive environment for our boarders while allowing them access to a highly valued activity. If you have any questions or concerns regarding these rules, please do not hesitate to reach out to us.
Please be aware that the same rules apply for any regular offsite sporting activity including training at Medway rugby club and/or any gymnastics clubs.
Thank you for your cooperation in ensuring the well-being and development of {{pupil.txtprename}}.
Sincerely,
Mr Chris Coetzee
Head of Boys Boarding
