MapalOne and Flow Manager
All you need to do is set up your new starter in EPS. The email address and contact details provided on their EPS record will be sent across to MapalOne in the next auto-update (these happen every morning) and the new starter will be issued their login details to the email address on record. This means it's super important to ensure the information contained in EPS is accurate and up-to-date.
All leavers are automatically removed from MapalOne once processed on EPS.
If they haven’t received their log in:
• Firstly ask them to check all junk/spam folders for an email from MapalOne
• Check Flow Manager to see if they have an account – Company>Learners>Search Employee
From here, if they have an account, confirm the email address is correct and click the paper airplane icon on their Overview page to resend the welcome email.
• If the email information is incorrect, change it on EPS and resend the welcome email the following day.
Most of the time that will sort the issue.
If they have been setup correctly on EPS but don’t appear in Flow Manager when you search for them
They may have a duplicate account on the system. If this is the case, the user will be sent an email asking them to confirm both accounts belong to them and the accounts will be merged, or the Talent Development Team will do a manual check and merge the accounts.
They may have a job title which hasn't yet been set up on the system. If the new starter is the only person in the hotel with that job title, email the name and Job Title to clare.sheppard@kewgreen.co.uk.
If all of these options have been exhausted and you’re still hitting a wall, send Clare an email at clare.sheppard@kewgreen.co.uk and we will look into the issue further for you.
As EPS and MapalOne talk to each other through a live feed, simply update EPS and the email address will be pulled through into MapalOne on the next update (these happen at 9.30 each morning).

Managers can resend log in details through the Flow Manager system by following the below steps:
Company > Learners > Search Learner > Click Their Name > Ensure The Email Is Correct > Click The Paper Plane Icon In The Top Right Corner

Everyone has a unique learning pathway that is tailored to their role. Your pathways contain training that'll help you do your job, as well as some things surrounding trends in our industry i.e. Craft Beer! as well as some personal and professional development training too.
Required By You
This is mandatory compliance training that must be completed within 3 months of start date and repeated annually (or 3/6 monthly for Fire Training).
Recommended For You
This is optional training relevant to the learner's job role. This training can be used by managers to support on the job training or as part of the employee's Personal Development Plan or can be completed by the learner to enhance their knowledge and develop their skills in the areas of the role they wish to develop further.
Explore Learning
These are all other courses available to the learner. While they may not necessarily be relevant to the current job role, they can be used as part of the Personal Development Plan to prepare an employee for progression or for a lateral move.
Schedule
As well as showing completion deadlines for their compliance modules, the schedule also shows the employee all upcoming Kew Green Virtual and Classroom Training, including the Welcome to Kew Green Virtual Sessions. Employees can book and join all virtual sessions appearing on their schedule or book a space on classroom sessions (this will be confirmed with the manager on booking). Alternately, managers can register employees for any session through the Training Calendar on the Flow Manager portal.
Some of the compliance modules in MapalOne will reference some terminology and processes that may not be applicable to Kew Green. However, as these provide an industrywide, accredited qualification, we are unable to modify the contents. The current compliance modules are Fire, Food Allergens, Health and Safety, Food Safety, PCI, GDPR, Licensing and Modern Slavery.

Compliance Report
This report will give you a breakdown of compliance completion rate and provides a breakdown of all compliance modules by module and individual. You can filter by module to download a report showing compliance in a specific module.
Reports > Compliance Overview > Data
You can view on the Flow portal or click export in the top right corner to download as a CSV
Learner Progress Report:
This report will give you a breakdown of completion by learner or module for all modules. It will also show how long a learner has spent on any particular module to allow accuracy in paying anyone completing training from home or highlighting learners that may need further support. This report can be filtered by date, department or learner.

Training Calendar Bookings Report:
This report will give you a breakdown of all virtual and in person training your employees have booked or been registered on, including both upcoming and past sessions. For past sessions, the report will show whether the employee attended the session. This report can be filtered by date or session.

Some users may be prompted to complete training on a different platform, such as IHG Merlin or Hilton Learning Lobby. These external modules do not automatically update on MapalOne upon completion, and must by marked complete manually through Flow Manager when the employee returns the certificate.
To mark external training as complete:
Company > Learners > Search Learner > Click Their Name > External Training > Click Ellipses By Relevant Training > Edit > Completed "Yes" > Select Completion Date > Save
