1. Digital Workspace
Lock Your Screen: Every time you leave your desk, even for a minute, press Win + L (PC), Ctrl + Cmd + Q (Mac), lock (Chromebooks) or turn off (iPads)
Cloud Storage Only: Save all student-related work in the School’s Shared Drive, never on your local "Downloads" or "Documents" folder.
Passwords: Use a strong, unique password for your school account and ensure Multi-Factor Authentication (MFA) is active.
Email Privacy: Always double-check for the BCC field when emailing multiple parents.
2. Physical Environment
Clean Desk: Ensure no student files, SEN lists, or graded papers are left visible on your desk at the end of the day.
Locked Storage: Keep physical filing cabinets locked, and ensure the keys are stored in a secure location known only to authorized staff.
Safe Printing: Collect printed documents immediately from the printer; do not leave them sitting in the tray.
Secure Disposal: Use the designated shredding bins for any paper containing personal data (names, IDs, addresses).
3. Software & Photos
App Approval: Before using a new teaching app, check the "Approved Software List" or submit a DPIA to the DPO.
Photo Audit: Periodically delete student photos from school devices once the project or school year is finished.
Personal Devices: Never use personal phones to take photos of students or store student contact details.
