ARD Meetings should be scheduled on a monthly basis. Each month's ARDs should be on the calendar no later than the 1st of the previous month. For example: All October ARDs should be on the Google Calendar & tracker no later than the 1st of September. As soon as an ARD has been scheduled it must be placed on the Google Calendar. If it is a event that requires 'creating', it must be created at least one month prior to the meeting date. We must ensure we are allowing teachers and other staff members ample time to input their data.
Annual ARD Meetings - In order to accommodate campus and parent schedules, Annual ARD meetings may be scheduled 2-4 weeks prior to the due date. Anything beyond this time frame is not best practice as we are not allowing the students enough time to master goals/objectives.
It is imperative to work closely with all service providers when scheduling ARD meetings.
You can access the ARD Tracker above. It is also located in your Google Drive in your "Shared with Me" folder. Parent notifications (calls, letters, etc) will be made based on this entry.

Review the schedule of services to determine if the student is receiving services from any other provider
Review previous ARD documents to determine if translator was at previous ARD meetings
Review Home Language Survey to determine what language is primarily spoken in the home
The Special Education Teacher will send the Google calendar invitations to the Campus ARD members:

Campus Nurse
Campus Counselor
If the student has more than one General Education and Special Education teacher, one representative for each area will attend. Other staff/teachers may provide information through the Teacher Information to the ARD Committee Form. The instructional team member from each area will report the information.
Prior to the ARD, the Assessment Staff will:
Review all components of the IEP to ensure it has been completely drafted.
Send the draft to the parent at least 5 days prior to the meeting. (Must happen for all annuals and for revision meetings that are making changes to PLAAFPs, Goals or SOS.)
Review the Frontline Learning Center as needed.
Special Education Clerk will check tracker for ARDS.
First notice - Should be distributed one month prior to the ARD meeting.
Second notice - The ARD notice is sent out 3 weeks prior to the ARD meeting.
Third notice - Two weeks before the ARD, another notice will be sent by mail. If there is still no verbal contact made, all of the above are repeated (call, text and mail).
Some parents request a call or text back a day or two before the ARD to remind them.
Once contact is made, the tracker and notices are updated with all attempts and responses as soon as possible.
Parent request change - If there is a request for a change then the tracker is updated and an email is sent to the appropriate assessment staff member.
If the campus is requesting a change to the ARD date within a week of the scheduled date, it is the responsibility of the campus Special Education staff to make the initial contact.
