DAY FIELD TRIPS
Please follow this Day Field Trip Checklist. At least 2 weeks in advance, your Principal must sign the Day Trip Approval Form. Please check the Day/Overnight Google Site for more info.
OVERNIGHT TRIPS
Both Domestic and International overnight field trips are allowed for the 23-24 SY. Choose a travel agency or overnight camps from the approved lists below. For travel outside of the United States, your group must be registered in the Smart Traveler Enrollment Program ("STEP") through the US Department of State. Here is the link https://step.state.gov/step/ If you are planning an international trip you are encouraged to check this site before planning https://travel.state.gov/content/travel.html. If the international location you want to travel to is a level 3 or higher your travel request will not be approved.
Here is the Proposal for Overnight Activity Trips. It can be found on the Day/Overnight Trips Site (look at the top tabs to find the correct form). Please note: VRBOs, Airbnb, Vacasa, or any other vacation rentals, or private residences/condos are NOT allowed. Be sure to read and complete the entire proposal before submitting it to allison.porter@dcsdk12.org.
Additionally, if the location/venue or travel agency is not listed below you must contact Strategic Sourcing to get the location/venue or travel agency under Master Services Agreement before you start this process.
TRAVEL AGENCIES
If you are using a Travel Agency for your trip, please check that the Travel Agency is an approved supplier in Workday. If the Travel Agency is not under contract, this step will need to be completed first. Email strategicsourcing@dcsdk12.org with any questions. Allow 8 weeks to onboard new travel agencies.

TAX ON AIRLINES
We are not exempt from sales tax on airlines. It is expected that you will need to pay for tax with airline purchases. The federal excise tax assessed on air travel is distinct from the federal income tax and state and local sales and use taxes, from which DCSD is exempt. Tax-exempt organizations are not exempt from federal excise taxes.

If the travel agency is not listed above, check Workday to see if they are an approved supplier. If the Travel Agency is not in Workday or they are inactive, they are not approved. Email StrategicSourcing@dcsdk12.org with the travel agency's contact information and they will reach out to the Travel Agency to get the contracting process started. This step needs to be completed well ahead of time and before any trips can be approved.
TRAVEL WITHOUT STUDENTS GUIDELINES
Per DCSD Risk Management --- It is recommended that only commercial properties are rented for District travel.
If VRBO/AirBnB's are managed by a professional company, and no students are on the trip they are approved.

If you do not see an Outdoor Education Program on the above-mentioned lists that you would like to utilize, please feel free to contact StrategicSourcing@dcsdk12.org to begin the approval process. Allow 4-6 weeks to onboard new outdoor ed camps.
• Rafting and float trips. Commercial rafting is generally prohibited, whereas rafting as part of an education program will be approved on a case-bycase basis.
• Boating on commercial excursions on larger vessels of limited duration. Examples: catamaran rides, harbor cruises and ferries
• Mountain bike clubs.
• Tobogganing, sledding and tubing.
• Bungee runs.
• Mechanical amusement parks, devices and rides, carnival rides.
• Helicopter landings on District property.
• Dunk tanks – adults only.
• Water parks.
• Field trips to other countries by secondary students.
• Pyrotechnical events.
• Recent graduates of DCSD schools shall not be allowed to travel as a
student with a DCSD group, unless accompanied by a parent on the trip.
• Tethered hot air balloon rides.
• Archery – curriculum-based only.
• Laser tag on DCSD property.
• Hayrides/tractor-trailer rides and parade floats. • Ocean sports (surfing,
scuba diving, etc.)
• Bonfires.
• Lock-ins and school sleep-overs.
• Field trips outside the country for 7th – 12th grade students.
• Club sports not sanctioned by CHSAA (1)
Examples: Ice hockey (boys and girls), inline hockey and rugby (boys and
girls).
